Move your client work from Notion to Workspace369.

Notion is a flexible workspace for docs and databases, and it is much cheaper per seat: $12 a member a month on Plus and $24 on Business with monthly billing ($10 and $20 billed yearly). What its pricing page doesn’t list is the client side of the job: proposals, invoices, a client portal, or time tracking that turns hours into an invoice. If you built your client system out of Notion databases and send proposals and invoices from other tools, Workspace369 puts proposals, projects, time, invoices and the client portal on one client record, with seats included in the plan. There is no Notion importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Notion prices were checked on its own pricing page on October 23, 2026.

14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first

What moves, what doesn't

There is no one-click import from Notion, and Workspace369 does not claim one. Notion exports a full-page database as CSV, and AI Import reads CSV or Excel files, so your client database moves; pages and project boards are set up again.

Moves with you

  • Your client database, as clients. Open the database as a full page, click the ••• menu, choose Export, and pick Markdown & CSV. Notion exports the database as a CSV file. AI Import maps the columns to client records, and you review the mapping first.
  • Products, proposals or invoices. If you track a price list, proposals or invoices in Notion databases, export those as CSV too. AI Import reads files of products, invoices and proposals.
  • The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.

You re-create these

  • Project boards and tasks. AI Import doesn’t create projects or tasks. Set up your active projects again; Workspace369 has tasks and subtasks with list, Kanban and calendar views on every plan, and Gantt views and task dependencies from Voyager.
  • Docs and wikis. Workspace369 isn’t a wiki. Keep your docs in Notion, or keep the Markdown or HTML export as your archive.
  • Database automations. Rebuild your key database automations as Workspace369 workflows. Email automations run on every plan, and SMS steps start on Voyager.

No lock-in either way: the Workspace369 workspace owner can request a full export of the workspace data. In Notion, you can export all workspace content as HTML, Markdown or CSV from Settings, on every plan. The download link arrives by email and expires after 7 days, large exports can take up to 30 hours, and pages the exporter can’t access, such as other members’ private pages, are left out; some content may also be left out based on teamspace settings.

The seat math

Per-user pricing against included seats

Notion charges per member: $12 a month on Plus and $24 on Business with monthly billing. Its Free plan is meant for individuals: blocks are limited once a workspace has 2 or more members. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.

Prices checked October 23, 2026 on the vendors’ own pages, on monthly billing.

Team sizeNotion Plus ($12)Notion Business ($24)Workspace369
1 person$12$24$29 (Cadet, 1 seat)
2 people$24$48$74 (Voyager, 2 seats)
5 people$60$120$104 (Voyager $74 + 3 extra seats at $10)
10 people$120$240$149 (Specialist, 10 seats)
20 people$240$480$249 (Specialist $149 + 10 extra seats at $10)

Notion wins on price. Plus costs less than Workspace369 at every team size in the table, and Business costs less up to 3 people; from 4 people, Workspace369 costs less than Business ($94 against $96). What the extra buys is the client work Notion’s pricing page doesn’t list: proposals, invoices, a client portal, and timesheets that become invoices, all on every Workspace369 plan. Step by step

The switching checklist

Seven steps, in order.
  1. Export what you need from Notion

Export your client database as Markdown & CSV from its ••• menu. Export the rest of the workspace from Settings, under General, as an archive.

  2. Start the trial and set up your services and prices

The 14-day trial gives you time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.

  3. Run AI Import for your clients

Upload the client CSV. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.

  4. Set up your active projects

Recreate the projects you are delivering now with tasks, subtasks and due dates.

  5. Add your team and set permissions

Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.

  6. Send your first proposal

Send a proposal from the client record. When the client signs, it becomes a project; log time against it and turn billable hours into an invoice, all visible in the client portal.

  7. Downgrade Notion once you’ve moved

Keep Notion until your exports are saved and your team works in Workspace369. If you still use it for docs, drop the members who no longer need a seat.

Fair is fair

Stay on Notion if…

  • Notion is your company wiki. If your docs, SOPs and notes are the heart of how you work, Notion does that well, and Workspace369 isn’t a wiki. Many teams keep both.
  • You work alone and Free covers you. Notion’s Free plan is built for individuals. Workspace369 starts at $29, with a 14-day free trial and no free plan.
  • Your team leans on Notion AI. Notion Agent, AI Meeting Notes and Enterprise Search (in beta) come with Business. If those run your day, weigh that before you move.
  • Your databases are tuned to your process. If years of custom properties and views fit how you work and invoicing happens elsewhere without friction, a switch may cost more than it saves.

FAQ

Switching questions, answered straight

Is there a Notion importer?

No. Workspace369 has no Notion-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result. Pages and project boards are set up again.

How do I export my data from Notion?

For one database, open it as a full page, click •••, choose Export, and pick Markdown & CSV; the database comes out as a CSV file. For everything, go to Settings, then General, and choose Export all workspace content. Notion emails a download link that expires after 7 days.

Is Notion cheaper than Workspace369?

Yes, per seat. On monthly billing Notion Plus is $12 a member and Business $24. Plus costs less than Workspace369 at every team size up to 20, and Business costs less up to 3 people. Notion’s pricing page doesn’t list proposals, invoices, a client portal or time tracking; Workspace369 includes them on every plan.

Does Workspace369 track time and bill it?

Yes, on every plan. Workspace369 has timers, manual entries and weekly timesheets with approvals, and turns billable hours into invoices. Notion’s pricing page doesn’t list time tracking.

What does AI Import cost?

It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.

Am I locked in to Workspace369?

No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
