Move your client work from Capsule CRM to Workspace369.
Capsule is a tidy sales CRM: contacts, sales pipelines, project boards, tasks and email, with automations and AI tools from Growth. On monthly billing, Starter is $22, Growth $40 and Advanced $60 a user a month ($18, $36 and $54 billed annually), and a Free plan covers up to 2 users and 250 contacts. If proposals, invoices and texting clients happen in other tools, Workspace369 puts them on the same client record as the CRM and the project, with seats included in the plan. Capsule exports your contacts, opportunities and projects as CSV. There is no Capsule importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Capsule prices were checked on its own pricing page on October 23, 2026.
14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first
What moves, what doesn't
There is no one-click import from Capsule, and Workspace369 does not claim one. Contacts move through AI Import; opportunities and projects are set up again.Moves with you
- Your contacts, as clients. An administrator with export rights opens Account Settings, then Export Data; Capsule emails a ZIP with CSV files for contacts, opportunities and projects, and the link expires after 12 hours. AI Import maps the contact columns to client records, and you review the mapping first.
- The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.
You re-create these
- Notes and email history, for reference. AI Import doesn't bring these. Capsule puts each record’s note and email history in the last column of the CSV. Keep the files for your records; file attachments aren’t in the export and download one at a time.
- Opportunities and pipelines. Set up your pipeline stages again and re-create the deals still in play from the opportunities CSV. Workspace369 tracks leads and their sources on every plan, and an accepted proposal becomes a project.
- Projects and tasks. AI Import doesn’t create projects or tasks. Set up your active projects again; Workspace369 has tasks and subtasks with list, Kanban and calendar views on every plan, and Gantt views and task dependencies from Voyager.
- Workflow automations. Rebuild your key automations as Workspace369 workflows. Email automations run on every plan, and SMS steps start on Voyager.
No lock-in either way: the Workspace369 workspace owner can request a full export of the workspace data. In Capsule, only the Super Administrator can cancel, and the account’s data is permanently deleted two weeks after cancelling, so export first.
The seat math
Per-user pricing against included seats
Capsule charges per user: $22 a month on Starter and $40 on Growth with monthly billing. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.Prices checked October 23, 2026 on the vendors’ own pages, on monthly billing.
| Team size | Capsule Starter ($22) | Capsule Growth ($40) | Workspace369 |
|---|---|---|---|
| 1 person | $22 | $40 | $29 (Cadet, 1 seat) |
| 2 people | $44 | $80 | $74 (Voyager, 2 seats) |
| 3 people | $66 | $120 | $84 (Voyager $74 + 1 extra seat at $10) |
| 4 people | $88 | $160 | $94 (Voyager $74 + 2 extra seats at $10) |
| 5 people | $110 | $200 | $104 (Voyager $74 + 3 extra seats at $10) |
| 10 people | $220 | $400 | $149 (Specialist, 10 seats) |
| 20 people | $440 | $800 | $249 (Specialist $149 + 10 extra seats at $10) |
Capsule Starter costs less than Workspace369 for teams of up to 4, and Workspace369 costs less from 5 people. Against Growth, which adds automations and multiple pipelines, Workspace369 costs less at every team size. Capsule’s plan highlights don’t mention proposals, invoices or texting (it connects to tools such as Xero for accounting); Workspace369 includes them (texting from Voyager). On annual billing both prices drop, so the crossover shifts; compare both on the vendors’ pages. Source: Capsule pricing, checked October 23, 2026.
Step by step
The switching checklist
Seven steps, in order.Export what you need from Capsule
An administrator with export rights runs Account Settings, then Export Data, and downloads the ZIP within 12 hours. Download any file attachments you need from their records.
Start the trial and set up your services and prices
The 14-day trial gives you time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.
Run AI Import for your clients
Upload the contacts CSV. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.
Rebuild your pipeline and active projects
Set up your pipeline stages and the deals still in play, then your active projects with tasks and due dates. Save a repeatable project as a template (from Voyager).
Add your team and set permissions
Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.
Send your first proposal
Send a proposal from the client record. When the client signs, it becomes a project, then an invoice, all on the same record and visible in the client portal.
Cancel Capsule once you’ve moved
Keep Capsule until your exports are saved and your team works in Workspace369. The Super Administrator cancels; data is deleted two weeks later.
Fair is fair
Stay on Capsule if…
- You only need a sales CRM. If proposals, invoices and delivery already run well in other tools, Capsule does the contact and pipeline job well, and Starter costs less than Workspace369 for teams of up to 4.
- You lean on AI contact enrichment. Capsule lists AI business and contact enrichment, AI summaries and meeting prep from Growth. Workspace369 has AI compose, summaries and translation, but not contact enrichment.
- Two people on a small contact list. Capsule’s Free plan covers up to 2 users and 250 contacts. Workspace369 starts at $29, with a 14-day free trial and no free plan.
- You rely on its integrations. Capsule lists premium integrations such as Xero and Zendesk from Starter. If your stack is built around them, weigh that before you move.

FAQ
Switching questions, answered straight
Is there a Capsule importer?
No. Workspace369 has no Capsule-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result. Opportunities and projects are set up again.
How do I export my data from Capsule?
An administrator with export rights goes to Account Settings, then Export Data. Capsule emails a link to a ZIP with CSV files for contacts, opportunities and projects, with note and email history in the last column; the link expires after 12 hours. File attachments aren’t included.
Is Capsule cheaper than Workspace369?
On Starter, for teams of up to 4. On monthly billing, Capsule Starter is $22 a user and Growth $40; Workspace369 costs less than Starter from 5 people ($104 against $110) and less than Growth at every team size. Capsule’s Free plan covers 2 users and 250 contacts. Capsule’s plan highlights don’t mention proposals, invoices or texting, which Workspace369 includes.
What happens to my opportunities?
Keep the opportunities CSV and re-create the deals still in play. Workspace369 tracks leads and their sources on every plan, and an accepted proposal becomes a project, so the deal connects to delivery and billing.
What does AI Import cost?
It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.
Am I locked in to Workspace369?
No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
