Move your client work from Keap to Workspace369.
Keap is an automation-first CRM: one platform starting at $299 a month on monthly billing for 2 users and 1,500 contacts, with additional users at $39 a month each and a required implementation package. It is strong at marketing and sales automation, landing pages, quotes, invoices and texting. If your business mostly needs client work to run (proposals, projects, tracked time, invoices and a client portal) and you are paying for automation you don’t use, Workspace369 costs a fraction of that. Keap documents a CSV export of your contacts. There is no Keap-specific importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Prices below were checked on Keap’s own pricing page on October 23, 2026.
14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first
What moves, what doesn't
There is no one-click import from Keap, and Workspace369 does not claim one. You export spreadsheets from Keap and AI Import does the column mapping.Moves with you
- Contacts, as clients. In Keap, go to Contacts, then People, select all and click Export. Keap says the CSV includes standard and custom fields. AI Import maps the columns to client records, and you review the mapping first.
- The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.
- Products, invoices and proposals, if you can get them into a spreadsheet. AI Import also reads CSV or XLSX files of products, invoices and proposals. Keap’s contact export doesn’t include them, so ask your Keap Customer Success Manager what they can export for you.
You re-create these
- Tags. Keap says tags are not part of the contact export. On Keap Pro and Max, its Tag Tracker report matches contact IDs to tags, so you can rebuild the segments that matter.
- Campaigns, landing pages and broadcasts. Rebuild these in Workspace369. It has a funnel builder for hosted landing pages that capture leads into your CRM (1 live funnel on Cadet, 3 on Voyager, 10 on Specialist), SMS broadcasts from Voyager, email and SMS campaigns from Specialist, and email and SMS workflows. It has no lead scoring.
- Pipeline stages. Workspace369 has client stages (by default Lead, Onboarding, Active, Paused and Past, and you can rename them), not a sales pipeline. Open opportunities come across as clients at the Lead stage, or as proposals.
- Saved cards and your Keap phone number. Saved payment methods cannot be moved between systems, and Workspace369 does not promise a number port-in. Plan on a new number on Voyager and tell clients before you cancel.
No lock-in either way: the workspace owner can request a full data export from Workspace369 at any time. Large Keap exports arrive as an email link, and the recipient must be able to log in to Keap, so export before you cancel.
The seat math
One platform price against included seats
Keap starts at $299 a month on monthly billing for 2 users and 1,500 contacts, with additional users at $39 a month each, plus a required implementation package. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.Prices checked October 23, 2026 on the vendors’ own pages. Keap prices are at 1,500 contacts.
| Team size | Keap, monthly | Workspace369, monthly |
|---|---|---|
| 1 person | $299 (2 users included) | $29 (Cadet, 1 seat) |
| 2 people | $299 | $74 (Voyager, 2 seats) |
| 5 people | $416 ($299 + 3 users at $39) | $104 (Voyager $74 + 3 extra seats at $10) |
| 10 people | $611 ($299 + 8 users at $39) | $149 (Specialist, 10 seats) |
| 20 people | $1,001 ($299 + 18 users at $39) | $249 (Specialist $149 + 10 extra seats at $10) |
Workspace369 costs less than Keap at every team size in the table, before Keap’s required implementation. The comparison is not like for like: Keap’s price buys a deeper marketing automation platform, with multi-page sales funnels, broadcasts, lead scoring, text marketing and a dedicated Customer Success Manager. Step by step
The switching checklist
Seven steps, in order.Export your contacts from Keap
Go to Contacts, then People, select all and click Export. Up to 1,000 contacts download right away as a CSV; larger exports arrive as an email link. Run the Tag Tracker report too if you rely on tags.
Start the trial and set up your services and prices
The 14-day trial is enough time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.
Run AI Import for your clients
Upload the CSV or XLSX files. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.
Set your client stages and bring open opportunities across
Rename the default client stages to match how you sell, then mark open opportunities as leads or send them a proposal.
Rebuild the automations and forms you use
Re-create your key follow-ups as workflows and your forms as intake forms, and your landing pages as funnels. Email automations run on every plan, and SMS steps start on Voyager.
Add your team and set permissions
Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.
Cancel Keap when the last open invoice there is paid
Keep Keap until your exports are saved and open invoices and payment plans there are settled, then cancel.
Fair is fair
Stay on Keap if…
- Marketing automation drives your revenue. Keap lists multi-page sales funnels, email broadcasts, lead scoring and automation templates. Workspace369 has a funnel builder, SMS broadcasts and email and SMS workflows, but no lead scoring and a lighter marketing toolkit.
- You sell online. Keap lists checkout forms and selling online. Workspace369 is built around proposals and invoices for client work.
- You want hands-on help. Keap includes a dedicated Customer Success Manager, U.S.-based phone support and 24/7 chat, plus implementation services.
- Your automations already pay for themselves. If your Keap campaigns work, a move has a real cost in hours and no payoff.

FAQ
Switching questions, answered straight
Is there a Keap importer?
No. Workspace369 has no Keap-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result.
Does the Workspace369 trial need a card?
Yes. You add a card to start the 14-day trial on Cadet through Commander, and nothing is charged if you cancel in Settings → Billing before it ends. Keep Keap running while you try it, and cancel Keap once your clients and open work have moved.
How do I export my contacts from Keap?
Go to Contacts, then People, tick Select All and click Export. Keap says exports of 1,000 contacts or fewer download immediately as a CSV, and larger exports are sent as an email link that the recipient opens by logging in to Keap. Tags are not included in the export.
Is Keap more expensive than Workspace369?
Yes, at every team size. Keap starts at $299 a month on monthly billing for 2 users and 1,500 contacts, plus $39 a month per additional user and a required implementation package. On Workspace369, two people are $74 a month on Voyager and ten are $149 on Specialist.
Does Workspace369 replace Keap’s marketing automation?
Not fully. Workspace369 has email automations on every plan and SMS steps from Voyager, with intake forms, a funnel builder for hosted landing pages that capture leads, SMS broadcasts from Voyager, and email and SMS campaigns from Specialist. It has no lead scoring and nothing like Keap's depth of campaign automation. If those drive your revenue, Keap is the better fit.
What does AI Import cost?
It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.
Am I locked in to Workspace369?
No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
