Switch from Productive
Moving from Productive? Keep it for resourcing, or move the client side to Workspace369.
Productive is agency operations software: budgets, resource planning, time tracking, invoicing and profitability reporting for teams that run on utilization. Workspace369 is built around the client-facing side instead: proposals clients sign online, a client portal, a shared inbox with texting and calling, scheduling, automations and AI, on plans with seats included. It does not replace Productive’s resource planner or its budget burn reporting, and there is no Productive importer. What it does have is AI Import, which maps your own CSV or XLSX columns, lets you review the mapping and shows the usage it needs before it writes anything.
14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first
What moves, what doesn't
There is no one-click import from Productive. You export spreadsheets and AI Import does the column mapping. Planning data and budget history do not have a place to land in Workspace369, so decide what happens to them before you cancel anything.Moves with you
- Clients and contacts, products and services, invoices and expenses. Export what you need from Productive as spreadsheets, upload the CSV or XLSX and AI Import maps the columns to the right fields. You review the mapping first.
- The cost, before you commit. The import shows how much of your monthly usage it needs before it starts, so nothing runs on a surprise bill.
- Reports and files. Save the budget, utilization and profitability reports you want to keep as PDFs or exports, and attach them to the client record or a project.
You re-create, or leave behind
- Resource plans and bookings. Workspace369 has no resource planner, bookings or utilization view. Keep a planning tool, or plan outside the system.
- Budgets with burn tracking. Project budgets, budget spent warnings and revenue recognition do not carry over. Workspace369 reports project and customer profitability from Specialist, which is a different, lighter tool.
- Time entries. AI Import’s record types are clients, products, expenses, invoices and proposals, so time entries are not among them. Track time fresh in Workspace369.
- Links, cards and integrations. Old invoice links keep pointing at Productive, saved payment methods cannot be moved between systems, and Workspace369 has no Productive integration or sync.
No lock-in either way: the workspace owner can request a full data export from Workspace369 at any time. Productive’s own export options can change, so check what your plan lets you export before you plan around it.
Two different centers of gravity
What each tool is built for
Productive is built around how an agency plans, budgets and measures its work. Workspace369 is built around the client relationship. Here is where each one is the better choice.Where Workspace369 is stronger
- Proposals, contracts and e-signature that clients review, accept and sign online, with a deposit on acceptance.
- A client portal for approvals, files, invoices and messages.
- A shared inbox with texting, calling and voicemail, from Voyager. We found no texting or phone line on Productive’s pricing page.
- Scheduling and automations, with online booking from Specialist.
- AI across the workspace, drawing on your plan's monthly usage.
- Plan pricing with seats included, instead of a price per user. See the seat math below for when that is cheaper and when it is not.
Where Productive is stronger
- Resource planning. Planning by person or by project, tentative and repeating bookings, availability and team utilization, all listed on its Essential plan.
- Budgets and budget burn. Budgets that track planned revenue, costs and profitability, with budget spent warnings and revenue recognition.
- Agency profitability and forecasting. Rate cards, retainer management and recurring budgets from Professional, and revenue forecasting, Scenario Builder and overhead calculation on Ultimate.
- Time off and people management, with approval flows for absences.
- Agency-scale project accounting, with approvals for billable time and expenses and accounting integrations (Xero, QuickBooks Online) from Professional.
The cost math
Productive per user, against Workspace369 seats
Productive’s pricing page showed Essential at $12 a user per month billed monthly ($10 billed yearly) and Professional at $29 billed monthly ($25 billed yearly), with a minimum of three seats. Ultimate is “Let’s talk”. Workspace369 plans include a set number of seats, with extra seats at $10 a month from Voyager. For Workspace369 the table uses the cheapest option at each size.Prices checked October 19, 2026 on Productive’s own pricing page. Productive figures are per user, shown as billed monthly with the billed-yearly price in brackets. Workspace369 prices are monthly.
| Team size | Productive Essential, monthly (3-seat minimum) | Productive Professional, monthly (3-seat minimum) | Workspace369, monthly |
|---|---|---|---|
| 1 person | $36 ($30 yearly), 3 seats minimum | $87 ($75 yearly), 3 seats minimum | $29 (Cadet, 1 seat) |
| 2 people | $36 ($30 yearly), 3 seats minimum | $87 ($75 yearly), 3 seats minimum | $74 (Voyager, 2 seats) |
| 3 people | $36 ($30 yearly) | $87 ($75 yearly) | $84 (Voyager $74 + 1 extra seat at $10) |
| 5 people | $60 ($50 yearly) | $145 ($125 yearly) | $104 (Voyager $74 + 3 extra seats at $10) |
| 8 people | $96 ($80 yearly) | $232 ($200 yearly) | $134 (Voyager $74 + 6 extra seats at $10) |
| 10 people | $120 ($100 yearly) | $290 ($250 yearly) | $149 (Specialist, 10 seats) |
Read this honestly: Productive Essential is cheaper than Workspace369 from 2 people up (a solo user is cheaper on Cadet, $29 against Productive’s $36 three-seat minimum), and it includes resource planning and budgets that Workspace369 does not have. Against Productive Professional, which adds retainer management, recurring budgets, rate cards and retainer invoicing, Workspace369 is cheaper for 1 to 2 people, about the same at 3 and cheaper from 5. The two do different jobs, so if you run both you pay both. Source: Productive pricing, checked October 19, 2026.
On Workspace369, texting and calling start on Voyager ($74), online booking, payment plans, expenses, inventory and basic accounting start on Specialist ($149), and full accounting starts on Commander ($299).
Step by step
The setup checklist
Seven steps, in order. Steps 2 to 6 work whether you keep Productive or leave it.Decide what stays in Productive
If you rely on resource planning, bookings, utilization or budget burn, decide whether to keep Productive for that, or use another planning tool. Workspace369 does not replace them.
Export what you want from Productive
Export your companies and contacts, products and services, and open invoices or expenses as spreadsheets. Save the budget, utilization and profitability reports and invoice PDFs you want for your records.
Start the trial and set up your services and prices
The 14-day trial is enough time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.
Run AI Import for each record type
Upload a CSV or XLSX for clients, products, expenses, invoices or proposals. AI Import maps your columns, you review the mapping, and the usage it needs is shown before you start.
Re-create your templates and projects
Rebuild the proposal and contract templates you actually use, then set up projects for live work and start tracking time fresh. Time entries are not among AI Import’s record types.
Add your team and connect Stripe
Seats are included in the plan, with extra seats at $10 a month from Voyager. Workspace369 payments run on Stripe: connect once and every invoice goes out with a payment link, with payment plans on Specialist and above.
Run one client end to end, then decide
Take one real client from proposal to project to tracked time to invoice. Keep both tools for a week or two and cancel Productive only after a client has paid through the new setup.
Fair is fair
Stay on Productive if…
- Resource planning is how you run the agency. Productive lists planning by person and project, bookings and utilization on its Essential plan. Workspace369 has nothing equivalent.
- You manage to budgets, retainers and margin. Budget burn, rate cards, retainer management and forecasting are Productive’s core. Workspace369 reports project and customer profitability from Specialist, but it does not track budget burn.
- You mostly bill from tracked time. Productive Essential is $12 a user per month billed monthly ($10 billed yearly), with a three-seat minimum, which is cheaper than Workspace369 from 2 people up and comes with the planning tools.
- You need a native Android app. Workspace369’s native app is for iPhone and iPad; there is no Android app.
Pick your plan

FAQ
Switching questions, answered straight
What is the best Productive alternative?
It depends on whether you need resource planning. Stay on Productive if resourcing, budgets and utilization are why you bought it: Essential is $12 a user a month on monthly billing ($10 billed yearly), minimum three seats. Teamwork Accelerate, with workload planning, is $29.99 a user a month ($24.99 billed yearly). If the client side matters as much as the projects, Workspace369 Voyager ($74/mo, 2 seats) adds proposals, invoices, the client portal, texts and calls, but has no capacity planning. Prices checked October 19, 2026; the Productive alternatives page has the full comparison.
Does Workspace369 integrate with Productive?
No. Workspace369 has no Productive integration or sync, and no Productive-specific importer. You export spreadsheets from Productive and use AI Import to map the columns, which you review before anything is saved.
Should I leave Productive at all?
Often not, if resource planning, bookings, utilization or budget burn are how you run the agency. Productive is the stronger tool for those. Many teams will want Workspace369 for the client side instead: proposals clients sign online, the client portal, a shared inbox with texting and calls, scheduling and automations. If you use both, you pay for both.
Is Productive cheaper than Workspace369?
Essential is, from 2 people up in our table (a solo person is cheaper on Workspace369 Cadet at $29, against Productive’s three-seat minimum of $36). Productive’s page showed Essential at $12 a user per month billed monthly ($10 billed yearly) with a three-seat minimum, so 5 people cost $60 a month ($50 yearly) and 10 people $120 ($100 yearly), against Workspace369 at $104 for 5 (Voyager plus 3 seats) and $149 for 10 (Specialist). Essential includes resource planning and budgets, which Workspace369 does not have. Professional, at $29 a user billed monthly ($25 yearly), comes to $145 for 5 people ($125 yearly) and $290 for 10 ($250 yearly), so Workspace369 is cheaper for 1 to 2 people and from 5 people, and about level at 3 people ($84 against $87, or $75 yearly).
Does Workspace369 replace Productive’s resource planning and budgets?
No. Workspace369 does not have a resource planner, bookings, utilization reporting or project budgets with burn tracking. It does track time on every plan and bills it into invoices, and it reports project and customer profitability from Specialist. If your team lives in Productive’s planner, keep it or choose a tool that has one.
What does Productive not list that Workspace369 has?
On the pricing page we read on October 19, 2026, Productive listed invoices on every plan, sales deals, and client access to budgets and retainer invoicing from Professional. We found no texting or phone line on that page. Workspace369 has a client portal on every plan, proposals clients sign online, and texting, calling and voicemail from Voyager ($74 a month, 2 seats).
How do I get my data out of Productive?
Export lists and reports from Productive as spreadsheets or PDFs, then upload CSV or XLSX files to AI Import. We have not tested every Productive export, so check the columns before you rely on them.
What does AI Import cost?
It draws on your plan’s monthly AI usage, and the usage it needs is shown before you start the import, so you can decide before anything runs. Email credits are separate.
Am I locked in to Workspace369?
No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
Which plan do I need for time tracking?
Time tracking with timesheets and time-to-invoice is included on every plan, from Cadet ($29/month, 1 seat). Two-way SMS and calling start on Voyager ($74/month, 2 seats).
