Move your client work from Trello to Workspace369.

Trello is a great board for tracking work, and it is much cheaper per seat: free for up to 10 collaborators, then $6 a user a month on Standard and $12.50 on Premium with monthly billing ($5 and $10 billed annually). What its pricing page doesn’t list is the client side of the job: proposals, invoices, a client portal, or time tracking that turns hours into an invoice. If you run client work on boards and do the rest in other tools, Workspace369 puts proposals, projects, time, invoices and the client portal on one client record, with seats included in the plan. There is no Trello importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Trello prices were checked on its own pricing page on October 23, 2026.

14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first

What moves, what doesn't

There is no one-click import from Trello, and Workspace369 does not claim one. Trello exports JSON on every plan and CSV only on Premium, and AI Import reads CSV or Excel files, so plan the client list first; boards and cards are set up again.

Moves with you

  • Your client list, as clients. If you keep clients on a Trello board in a Premium Workspace, open the board menu, select Print, Export, and Share, and export it as CSV. On Free or Standard, Trello exports JSON only, so export the client list from your accounting tool or a spreadsheet instead. AI Import maps the columns to client records, and you review the mapping first.
  • Products, proposals or invoices. If your price list or past invoices live in a spreadsheet or your accounting tool, export them as CSV. AI Import reads files of products, invoices and proposals too.
  • The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.

You re-create these

  • Boards and cards. AI Import doesn’t create projects or tasks. Set up your active projects again; Workspace369 has tasks and subtasks with list, Kanban and calendar views on every plan, and Gantt views and task dependencies from Voyager.
  • Comments and attachments. Trello’s JSON export includes a board’s 1,000 most recent actions, comments among them. A Workspace admin on Premium can export all boards with raw attachments as a ZIP. Keep the export for your records.
  • Power-Ups and automations. Rebuild your key automations as Workspace369 workflows. Email automations run on every plan, and SMS steps start on Voyager.

No lock-in either way: the Workspace369 workspace owner can request a full export of the workspace data. In Trello, any board member can export a board as JSON, and only Workspace admins on Premium can export all boards at once. Trello can’t import its own JSON or CSV exports to rebuild a board, so treat them as an archive.

The seat math

Per-user pricing against included seats

Trello charges per user: $6 a month on Standard and $12.50 on Premium with monthly billing, and it is free for up to 10 collaborators. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.

Prices checked October 23, 2026 on the vendors’ own pages, on monthly billing.

Team sizeTrello Standard ($6)Trello Premium ($12.50)Workspace369
1 person$6$12.50$29 (Cadet, 1 seat)
2 people$12$25$74 (Voyager, 2 seats)
5 people$30$62.50$104 (Voyager $74 + 3 extra seats at $10)
10 people$60$125$149 (Specialist, 10 seats)
20 people$120$250$249 (Specialist $149 + 10 extra seats at $10)

Trello wins on price. Standard costs less than Workspace369 at every team size, and Premium costs less up to 19 people; at 20, Workspace369 is $1 less ($249 against $250). What the extra buys is the client work Trello’s pricing page doesn’t list: proposals, invoices, a client portal, and timesheets that become invoices, all on every Workspace369 plan. Step by step

The switching checklist

Seven steps, in order.
  1. Export what you need from Trello

Export each board you want to keep as JSON (or CSV on Premium) from Print, Export, and Share. Export your client list as CSV, from a Premium board or from wherever you keep it.

  2. Start the trial and set up your services and prices

The 14-day trial gives you time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.

  3. Run AI Import for your clients

Upload the client CSV. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.

  4. Set up your active projects

Recreate the boards you are delivering now as projects with tasks, subtasks and due dates.

  5. Add your team and set permissions

Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.

  6. Send your first proposal

Send a proposal from the client record. When the client signs, it becomes a project; log time against it and turn billable hours into an invoice, all visible in the client portal.

  7. Downgrade Trello once you’ve moved

Keep Trello until your exports are saved and your team works in Workspace369, then cancel or drop to Free if other teams still use it.

Fair is fair

Stay on Trello if…

  • You only need a board. If proposals, invoices and client updates run well in other tools, Trello tracks the work simply, and costs far less per seat.
  • Your team is up to 10 and Free covers you. Trello is free for up to 10 collaborators per Workspace, with up to 10 boards. Workspace369 starts at $29, with a 14-day free trial and no free plan.
  • Your work runs on Power-Ups. Trello lists unlimited Power-Ups on every plan. If your process depends on specific Power-Ups, check Workspace369 covers them before you move.
  • Clients already work as board guests. Trello lists single-board guests from Standard. Workspace369’s client portal, on every plan, gives clients their files, invoices and messages and lets them sign proposals and contracts.

FAQ

Switching questions, answered straight

What is the best Trello alternative?

It depends on whether you need better boards or client work. If you only need better boards, Trello Premium ($10 a user a month billed annually, $12.50 monthly), ClickUp or Asana costs less than Workspace369. If you run client projects on boards and bill for them, Workspace369 keeps task boards, time tracking, proposals, invoices and a client portal on one client record ($29/mo for 1 seat on Cadet). Checked October 23, 2026; the Trello Premium page has the full price breakdown.

Is there a Trello importer?

No. Workspace369 has no Trello-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result. Boards and cards are set up again as projects and tasks.

How do I export my data from Trello?

Open a board’s menu, select Print, Export, and Share, and choose an export option. Every board member can export JSON; CSV export needs a Premium Workspace and leaves out comments. With Premium, a Workspace admin can export all boards as CSV and JSON from the Workspace settings, optionally with raw attachments.

Is Trello cheaper than Workspace369?

Yes, per seat. On monthly billing Trello Standard is $6 a user and Premium $12.50, and Free covers up to 10 collaborators. Standard costs less than Workspace369 at every team size, and Premium costs less up to 19 people. Trello’s pricing page doesn’t list proposals, invoices, a client portal or time tracking; Workspace369 includes them on every plan.

Does the Workspace369 trial need a card?

Yes. You add a card to start the 14-day trial on Cadet through Commander, and nothing is charged if you cancel in Settings → Billing before it ends. Keep Trello running while you try it, and cancel Trello once your clients and open work have moved.

Does Workspace369 track time and bill it?

Yes, on every plan. Workspace369 has timers, manual entries and weekly timesheets with approvals, and turns billable hours into invoices. Trello’s pricing page doesn’t list time tracking.

What does AI Import cost?

It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.

Am I locked in to Workspace369?

No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.

Ready to make the move?

Start the trial, run the checklist above, and cancel Trello once your exports are saved and your team is working in Workspace369.
