Move your client work from Zoho CRM to Workspace369.

Zoho CRM is a configurable sales CRM: free for up to 3 users, then $20 a user a month on Standard and $35 on Professional with monthly billing ($14 and $23 billed annually). It is strong at pipelines, forecasting, customization and the wider Zoho app family. If your business mostly needs client work to run (proposals, projects, tracked time, invoices and a client portal) and you are stitching those together from other apps, Workspace369 keeps them on one client record. Zoho documents CSV and XLSX exports by module, and a full data backup for administrators. There is no Zoho-specific importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Prices below were checked on Zoho’s own pricing page on October 23, 2026.

14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first

What moves, what doesn't

There is no one-click import from Zoho CRM, and Workspace369 does not claim one. You export spreadsheets from Zoho, one module at a time, and AI Import does the column mapping.

Moves with you

  • Accounts and contacts, as clients. In Zoho CRM, go to Setup, then Data Administration, then Export, pick the module and choose CSV. Export Accounts for company clients and Contacts for people. AI Import maps the columns to client records, and you review the mapping first.
  • Products, quotes and invoices. Export them the same way, one module each. AI Import reads CSV or XLSX files of products, invoices and proposals, so Zoho quotes can come across as proposals.
  • The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.

You re-create these

  • Deals and pipelines. Workspace369 has client stages (by default Lead, Onboarding, Active, Paused and Past, and you can rename them), not multiple sales pipelines or forecasting. Open deals come across as clients at the Lead stage, or as proposals.
  • Notes, activities and email history. Zoho exports notes as their own file, but AI Import doesn’t read notes, tasks or emails. Keep the export for reference and copy the notes that matter onto the client record.
  • Workflows, blueprints and web forms. Rebuild your key follow-ups as Workspace369 workflows and your web forms as intake forms or funnels. Custom modules and custom functions have no direct equivalent, but custom fields on clients do, on every plan.
  • Your calling setup. Workspace369 has its own business phone line, texting and calling from Voyager. It does not promise a number port-in, so plan on a new number and tell clients before you switch.

No lock-in either way: the workspace owner can request a full data export from Workspace369 at any time. Zoho export links last seven days, and a single CSV export holds up to 200,000 records per module, so save your files before you cancel.

The seat math

Per-user pricing against included seats

Zoho CRM charges per user: $20 a month on Standard and $35 on Professional with monthly billing. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.

Prices checked October 23, 2026 on the vendors’ own pages, all on monthly billing. Zoho CRM’s Free edition costs $0 for up to 3 users; the table shows its paid editions.

Team sizeZoho CRM StandardZoho CRM ProfessionalWorkspace369
1 person$20$35$29 (Cadet, 1 seat)
2 people$40$70$74 (Voyager, 2 seats)
3 people$60$105$84 (Voyager $74 + 1 extra seat at $10)
5 people$100$175$104 (Voyager $74 + 3 extra seats at $10)
6 people$120$210$114 (Voyager $74 + 4 extra seats at $10)
10 people$200$350$149 (Specialist, 10 seats)
20 people$400$700$249 (Specialist $149 + 10 extra seats at $10)

Zoho CRM is cheaper for small teams: its Free edition covers up to 3 users, and Standard costs less than Workspace369 up to 5 people ($100 against $104). From 6 people Workspace369 costs less than Standard ($114 against $120), and it costs less than Professional from 3 people ($84 against $105). The comparison is not like for like: Zoho CRM’s price covers the CRM, with deeper pipelines, forecasting and customization, while Workspace369’s covers projects, time tracking, proposals, invoices and the client portal as well. Step by step

The switching checklist

Seven steps, in order.
  1. Export your modules from Zoho CRM

Go to Setup, then Data Administration, then Export. Export Accounts, Contacts, Products, Quotes and Invoices as CSV, one module at a time, plus Notes for your records. Download links last seven days.

  2. Start the trial and set up your services and prices

The 14-day trial is enough time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.

  3. Run AI Import for your clients

Upload the CSV or XLSX files. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.

  4. Set your client stages and bring open deals across

Rename the default client stages to match how you sell, then mark open deals as leads or send them a proposal.

  5. Rebuild the automations and forms you use

Re-create your key follow-ups as workflows and your web forms as intake forms or funnels. Email automations run on every plan, and SMS steps start on Voyager.

  6. Add your team and set permissions

Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.

  7. Downgrade or cancel Zoho CRM once you’ve moved

Keep Zoho until your exports are saved and your team works in Workspace369, then cancel the paid edition, or move to Zoho’s Free edition if you have 3 users or fewer.

Fair is fair

Stay on Zoho CRM if…

  • You only need a CRM, and you’re 3 people or fewer. Zoho CRM’s Free edition covers up to 3 users with contact management, workflow automation and data import and export. Workspace369 has no free plan.
  • Sales pipelines are the job. Zoho lists multiple sales pipelines and sales forecasting from Standard, and CPQ and predictive intelligence on Professional. Workspace369 has client stages and proposals, not pipeline forecasting.
  • You customize heavily. Zoho lists custom modules from Standard, and custom buttons and functions plus a developer sandbox on Enterprise.
  • You already run on other Zoho apps. If Zoho Books, Desk or Campaigns hold the rest of your business, staying in that family keeps everything connected.

Pick your plan

FAQ

Switching questions, answered straight

Is there a Zoho CRM importer?

No. Workspace369 has no Zoho-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result.

How do I export my data from Zoho CRM?

Go to Setup, then Data Administration, then Export, pick a module, subform or Notes, and choose CSV or XLSX. A CSV export holds up to 200,000 records from one module, and the download link lasts seven days. For everything at once, including attachments, an administrator can request a data backup under Setup, Data Administration, Data Backup; Zoho says the Free edition has to buy a backup add-on.

Is Zoho CRM cheaper than Workspace369?

For small teams, yes. Zoho CRM is free for up to 3 users, and Standard is $20 a user a month on monthly billing, so it costs less than Workspace369 up to 5 people. From 6 people Workspace369 costs less than Standard, and from 3 people it costs less than Professional. Ten people are $149 a month on Specialist, against $200 on Zoho Standard or $350 on Professional. Zoho’s price covers the CRM; Workspace369’s also covers projects, time tracking, proposals, invoices and the client portal.

Do my Zoho deals and pipelines come across?

Not as pipelines. Workspace369 has client stages (Lead, Onboarding, Active, Paused and Past by default, and you can rename them) and proposals, not multiple sales pipelines or forecasting. Bring open deals across as clients at the Lead stage, or send them a proposal. If pipeline forecasting is central to how you sell, Zoho CRM is the better fit.

What does AI Import cost?

It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.

Am I locked in to Workspace369?

No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.

Ready to make the move?

Start the trial, run the checklist above, and cancel your paid Zoho CRM edition once your exports are saved and your team is working in Workspace369.
