Zoho One is a suite of apps. Workspace369 is one workspace for client work.
Zoho One is a very broad bundle: its pricing page lists 50+ business apps on the Standard plan and 15+ on Essentials, covering CRM, finance, marketing, customer service and HR. Breadth is its strength, and the cost of breadth is that you configure and connect the apps yourself. Workspace369 is narrower on purpose: proposals, contracts and signing, a client portal, projects and tasks, time tracking that bills into invoices, a shared inbox with texting and calls, automations and AI, all on one client record. There is no Zoho One integration or sync, and no Zoho-specific importer. What Workspace369 does have is AI Import, which maps your own spreadsheet columns and shows what it will cost before it writes anything.
14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first
What moves, what doesn't
There is no one-click import from Zoho One, and no sync between the two. Zoho apps export separately, so you export spreadsheets from each app you use and AI Import does the column mapping. Whatever you leave running in Zoho keeps running there.Moves with you
- Customers, products and services, invoices and expenses. Export the lists you need from the Zoho apps you use as spreadsheets, upload the CSV or XLSX and AI Import maps the columns to the right fields. You review the mapping first.
- The cost, before you commit. The import shows how much of your monthly usage it needs before it starts, so nothing runs on a surprise bill.
You keep in Zoho or re-create
- Reports and files. AI Import doesn't bring these. Keep Zoho reports and PDFs as your records, and attach what you need to the client record or project by hand.
- Everything outside client work. HR, payroll, email hosting, the help desk, marketing campaigns and custom apps built on Zoho’s platform have no Workspace369 equivalent. Keep the Zoho apps you use for those.
- Your books, unless you decide otherwise. Workspace369 has basic accounting from Specialist and full accounting from Commander. It does not run payroll and does not connect to bank feeds today. Do not try to move a ledger mid-year.
- Time entries. AI Import’s record types are clients, products, expenses, invoices and proposals, so time entries are not among them. Track time fresh in Workspace369.
- Links, cards and custom workflows. Old invoice links keep pointing at Zoho, saved payment methods cannot be moved between systems, and anything you built with Zoho’s automation or customization tools is rebuilt by hand.
No lock-in either way: the workspace owner can request a full data export from Workspace369 at any time.
Breadth against one connected record
Where each one wins
This is a suite against a focused workspace, so it is not like for like. Here is where each one is the better choice.Where Workspace369 is stronger
- One connected workspace for client work instead of many apps to wire together: the client, proposal, project, invoice and conversation are the same record.
- Proposals, contracts and e-signature that clients review, accept and sign online, with a deposit on acceptance.
- A client portal for approvals, files, invoices and messages.
- Projects and tasks, with time tracking that bills straight into the invoice.
- A shared inbox with texting, calling and voicemail from Voyager, plus automations and AI drawing on your plan's monthly usage.
Where Zoho One is stronger
- Breadth. HR, books, marketing, the help desk, mail and analytics all sit under one subscription. Workspace369 covers none of HR or email hosting.
- Deep customization. Zoho lists platform capabilities to build, customize and extend its apps, which Workspace369 does not match.
- Per-user price. Zoho One Essentials lists at $9 per user per month billed annually, which is cheaper than Workspace369 at every team size in the table below.
- Full accounting and payroll apps in the same bundle as your CRM. Payroll availability varies by country and we did not check it.
The cost math
Zoho One per user, against Workspace369 seats
Zoho One bills per user. On the monthly setting its US pricing page shows Standard All Employee at $45 and Standard Flexible user at $105 per user per month; Essentials is listed only with annual licensing, at $9 per user per month (checked October 23, 2026). All Employee requires a license for every employee on payroll, so a small team inside a larger company pays for the whole company. Workspace369 plans include a set number of seats, with extra seats at $10 a month from Voyager.Prices checked October 23, 2026 on Zoho’s own pricing page (US dollars, excluding taxes). Zoho add-ons, support plans and setup services are not included, and neither are Workspace369 annual discounts.
| Team size | Zoho One Essentials, billed annually | Zoho One Standard, All Employee, monthly | Zoho One Standard, Flexible user, monthly | Workspace369, monthly (cheapest option) |
|---|---|---|---|---|
| 1 person | $9 | $45 | $105 | $29 (Cadet, 1 seat) |
| 2 people | $18 | $90 | $210 | $74 (Voyager, 2 seats) |
| 5 people | $45 | $225 | $525 | $104 (Voyager $74 + 3 extra seats at $10) |
| 10 people | $90 | $450 | $1,050 | $149 (Specialist, 10 seats) |
| 20 people | $180 | $900 | $2,100 | $249 (Specialist $149 + 10 extra seats at $10); Commander is $299 for 20 seats with full accounting |
Read it plainly: Zoho One Essentials (15+ apps) is cheaper than Workspace369 at every size above. Standard, with its 50+ apps, costs more than Workspace369 at every size above, whether you license all employees or pick users. This is not an apples-to-apples price comparison either way: Zoho buys you breadth, and Workspace369 buys you the client-work tools on one record. If you keep both, you pay both. Paying annually, Zoho listed Essentials at $9, Standard All Employee at $37 and Standard Flexible user at $67 per user per month (list $90, shown struck through on October 23, 2026). Workspace369 drops about 20% on annual plans. Source: Zoho One pricing, checked October 23, 2026.
On Workspace369, texting and calling start on Voyager ($74), online booking, payment plans, expenses and basic accounting start on Specialist ($149), and full accounting starts on Commander ($299).
Step by step
The setup checklist
Seven steps, in order. Steps 2 to 6 work whether you keep some Zoho apps or leave Zoho entirely.List the Zoho apps you actually use each week
Most accounts run on a fraction of the bundle. That short list, often CRM, books, mail and projects, is your real requirements document. Decide which apps stay in Zoho and which job moves.
Export what you want from each Zoho app
Zoho apps export separately. Export your customer list, products and services, and open invoices or expenses as spreadsheets, plus the reports you want to keep. We have not tested every Zoho export, so check the columns before you rely on them.
Start the trial and set up your services and prices
The 14-day trial is enough time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.
Run AI Import for each record type
Upload a CSV or XLSX for clients, products, expenses, invoices or proposals. AI Import maps your columns, you review the mapping, and the usage it needs is shown before you start.
Re-create your templates, projects and automations
Rebuild the proposal and contract templates you actually use, set up projects for live work, then rebuild the few automations that matter. Workflows built in Zoho’s tools do not carry over.
Add your team and connect Stripe
Seats are included in the plan, with extra seats at $10 a month from Voyager. Workspace369 payments run on Stripe: connect once and every invoice goes out with a payment link, with payment plans on Specialist and above.
Overlap one billing cycle, then downgrade
Run both for a few weeks so nothing routed to Zoho goes quiet, then downgrade or cancel. Keep your exports. Zoho’s pricing FAQ says moving between Essentials and Standard applies to every user in the organization, so check before you change plans.
Fair is fair
Stay on Zoho One if…
- Someone owns the suite and you use many of its apps. With an admin, 50+ apps for one per-user price is hard to beat. Nothing on this page tries to match that surface.
- You need HR, payroll, email hosting or a help desk. Zoho lists them in the bundle. Workspace369 has none of them, and its accounting is basic from Specialist ($149) and full from Commander ($299).
- You rely on deep customization. If your processes are built on Zoho’s platform, rebuilding them by hand is the most expensive part of any move.
- Per-user price matters most. Essentials at $9 per user per month, billed annually, is cheaper than Workspace369 at every size in the table.
- You need a native Android app. Workspace369’s native app is for iPhone and iPad; there is no Android app.

In their words
Why some people narrow the stack
From Zoho’s own community forum, checked October 16, 2026:“Zoho-One is supposed to help my work, not become my work”
To be fair: plenty of teams get real value from Zoho One, especially with someone to administer it. This page is for the people it stopped fitting.
FAQ
Switching questions, answered straight
What is the best Zoho One alternative?
It depends on how many Zoho apps you actually use. Stay on Zoho One if someone owns the suite and you use ten or more of its apps. For a client-service business, Workspace369 puts clients, projects, a shared inbox, texts and calls (from Voyager, $74/mo, 2 seats), invoices and basic accounting (from Specialist, $149/mo, 10 seats) in one workspace, with full accounting on Commander ($299/mo). Agencies that resell software can look at GoHighLevel ($97/mo plus usage), and local shops that need marketing at Thryv ($99/mo). Prices checked October 23, 2026; the Zoho One alternatives page has the full comparison.
Does Workspace369 integrate with Zoho One?
No. Workspace369 has no Zoho One integration or sync, and it has no Zoho-specific importer. Export spreadsheets from the Zoho apps you use and upload the CSV or XLSX files to AI Import, which maps the columns, lets you review the mapping and shows the usage it needs before it saves anything.
Is Zoho One cheaper than Workspace369?
On sticker price, it depends on the plan. Zoho One Essentials ($9 per user per month with annual licensing, the only Essentials price its page shows) is cheaper than Workspace369 at every size in our table: $45 for 5 people against $104, and $90 for 10 people against $149. Zoho One Standard costs more than Workspace369 at every size in the table: All Employee is $225 for 5 people and $450 for 10, and Flexible user is $525 and $1,050, against $104 and $149. Standard All Employee also requires a license for every employee on payroll. It is not a like-for-like comparison, because Standard lists 50+ apps and Workspace369 covers client work only.
Should I leave Zoho One at all?
Often not completely. Zoho One is the stronger choice for breadth across HR, payroll, books, marketing and the help desk, and for deep customization. Many people keep the Zoho apps they use for those and run proposals, contracts, the client portal, projects, time tracking and client messaging in Workspace369.
What do I give up by leaving Zoho One?
Breadth. Workspace369 has no HR, payroll or email hosting, accounting is basic from Specialist ($149 a month) and full from Commander ($299 a month), and there is no bank feed connection today. In return, client work lives on one record, so nothing needs wiring together.
How do I get my data out of Zoho One?
Each Zoho app exports its own data, so export lists and reports from the apps you use as spreadsheets or PDFs, then upload CSV or XLSX files to AI Import. We have not tested every Zoho export, so check the columns before you rely on them.
What does AI Import cost?
It draws on your plan’s monthly AI usage, and the usage it needs is shown before you start the import, so you can decide before anything runs. Email credits are separate.
Am I locked in to Workspace369?
No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
Which plan do I need for time tracking and texting?
Time tracking with timesheets and time-to-invoice is included on every plan, from Cadet ($29/month, 1 seat). Two-way SMS and calling start on Voyager ($74/month, 2 seats).
