HubSpot alternatives for a small team: 6 options with real prices

The best HubSpot alternatives for a 2–10 person business are Pipedrive (a pipeline-first CRM from $24 a seat a month on monthly billing), Zoho CRM (a free plan for 3 users, Standard from $14 a user billed annually), Freshsales (from $9 a user billed annually), monday CRM (Basic $18 a seat on monthly billing), Salesforce Starter Suite ($25 a user) and Workspace369 (a flat $74 a month for 2 seats, with proposals, invoices, a client portal, texts and calls). HubSpot gets expensive at Professional: $90 a seat a month billed annually plus a required $1,500 onboarding, last checked October 18, 2026.

Methodology — We read each tool’s pricing page in a browser on October 18, 2026, with monthly and yearly billing both selected where the page offers them. Workspace369 is our product; we link its pricing page and say where it is not the best fit. On October 23, 2026 we re-checked every competitor price on this page against the vendor’s server-rendered page, using a second browser session where a page builds its prices in the browser.

Facts last verified from HubSpot's public pages. HubSpot is a trademark of its owner; Workspace369 isn't affiliated with or endorsed by it. Spot an error? Tell us at support@workspace369.com and we'll fix it.

The short version, by scenario

The best HubSpot alternative for a small team depends on what the CRM does for you. Pick Pipedrive if the pipeline is the job (Growth $49 a seat on monthly billing, $39 billed annually). Zoho CRM if you want the cheapest paid tier and a free plan for 3 users (Standard $20 a user monthly, $14 billed annually). Freshsales if you want a low entry price (Growth $11 a user monthly, $9 billed annually). Workspace369 if your work runs from proposal to deposit, invoice and client portal, with texts and calls built in ($74 a month for 2 seats on Voyager, $10 per extra seat).

What HubSpot costs a 5-person team: Sales Hub Professional is $90 a seat a month billed annually (list $100), about $450 a month, plus the required one-time $1,500 onboarding, about $6,900 in the first year. Starter showed $7 a seat with annual billing selected (list $20), as a new-customer offer. Last checked October 18, 2026.

Stay on HubSpot if marketing automation, sequences and its app ecosystem drive revenue, or if two people on the free CRM is enough. Leave if you are paying Professional prices for a CRM you mostly use as a contact list next to separate proposal, invoicing and phone tools.

Hi, and welcome. Looking for a HubSpot alternative for your small business? In this video, we'll compare HubSpot and Workspace369 feature by feature: what's in both, how they differ, and what it costs to get the features a client business needs.

First, what each one is built for. HubSpot is built for marketing and sales teams: capturing leads, nurturing them, and closing deals. Workspace369 is built for the client work after the deal: the proposal, the project, the invoice, and the conversations around them.

Quotes and e-signatures. Both have them. The difference is the plan you need. HubSpot's pricing page puts quoting on Revenue Hub Professional, at ninety-five dollars a seat a month on an annual commitment, with twenty-five e-signatures per user each month. In Workspace369, proposals clients sign online are on every plan, with no account needed, and up to three follow-ups go out automatically once the client opens one.

Contracts go out for e-signature too, with a signing order, a code sent to each signer's email, and a sealed signed copy for everyone.

Invoices. Both have invoices and recurring billing. The difference is what feeds them. In Workspace369, one click turns an accepted proposal into an invoice, tracked hours bill straight onto it, and clients can turn on autopay for recurring invoices and retainers.

Projects. Both have them. The difference is the hours. HubSpot's plans don't list a time tracker. In Workspace369, projects carry a budget, a priority and a progress bar, with task boards your team works from, and your team tracks time against each client and project, then bills the unbilled hours onto an invoice.

Texting. On HubSpot, two-way texting is a seventy-five-dollar-a-month add-on, and it needs Sales or Service Hub Professional. In Workspace369, two-way texts and calls are part of the plan from Voyager, on your own local number.

Client portal. HubSpot's portal comes with Service Hub Professional, and it shows support tickets. Workspace369 gives every client a private portal for their invoices, proposals, contracts and appointments, on every plan. They sign in with a code sent to their email, with no password to remember.

Price. Workspace369 starts at twenty-nine dollars a month for one seat, with proposals, contracts, invoices, time tracking and the client portal. Seventy-four dollars covers two seats, unlimited projects, and texts and calls. On HubSpot, quoting starts at ninety-five dollars a seat a month on an annual commitment, texting needs Professional plus a seventy-five-dollar add-on, and Sales Hub Professional has a required fifteen-hundred-dollar onboarding fee.

So if your business runs on client work, not a sales pipeline, Workspace369 keeps the proposal, the project, the hours and the payment in one place. Try it free for fourteen days, and our team will help you set it up.

Why people leave HubSpot in 2026

Three facts from our October 18, 2026 check of HubSpot’s pricing pages that matter if you run a small team:

  1. Oct 18, 2026

    Professional needs a $1,500 onboarding

HubSpot’s Sales Hub pricing page says the cost shown “does not include the required, one-time Professional Onboarding for a fee of $1,500”, and its Professional card says “Commit annually”. Enterprise carries a $3,500 onboarding.

  2. Oct 18, 2026

    Starter’s $7 is a new-customer offer

Sales Hub Starter showed $7 a seat a month next to a struck-through $20 with annual billing selected, and HubSpot’s CRM pricing page describes the offer as for new customers only. Price your renewal at the list price.

  3. Oct 18, 2026

The free CRM stops at 2 users

HubSpot’s free tools are “Free for up to 2 users. No credit card required.” A third person moves you to a paid seat.

Prices are per seat or per user per month unless marked as a team price, with the billing period stated in each cell or section, last checked October 23, 2026. “Not listed” means the vendor’s pricing page did not list the feature when we checked.

A dash on another tool's row means the feature is not listed on that tool's pricing page on the date shown for that row. It links to the page we read, so you can check it yourself.

  • E-signed proposals and contracts start on Premium ($79 a seat on monthly billing)
  • Its pricing page lists no client portal, texting or invoicing

Skip it if: You need invoices, deposits and a client portal on the same record as the deal.

Zoho CRM zoho.com ↗

Best for: Price-sensitive teams that want a full CRM with a free plan for three users and are comfortable configuring it.

Pricing: Free for 3 users. Billed annually: Standard $14, Professional $23 and Enterprise $40 a user a month; on monthly billing $20, $35 and $50. Bigin, Zoho’s lighter pipeline CRM, starts at $7 a user billed annually ($9 monthly). Last checked October 23, 2026.

Where it wins

  • A free plan for up to 3 users
  • Built-in calling from Standard
  • Professional adds quoting (CPQ) and customer portals

Real limitations

  • Per-user pricing: five people on Professional are $175 a month on monthly billing
  • Invoicing and accounting live in other Zoho apps you buy separately
  • Its pricing page lists no texting

Skip it if: You want proposals, deposits and invoices in the CRM itself rather than across several Zoho apps.

Freshsales freshworks.com ↗

Best for: Teams that want the lowest per-user entry price on this page and a sales CRM with basic workflows.

Pricing: Billed annually: Growth $9, Pro $39 and Enterprise $59 a user a month; on monthly billing $11, $47 and $71. Add-ons include branded documents at $19 a user a month and the Freddy AI Agent at $49 per 100 sessions. Last checked October 23, 2026.

Where it wins

  • The lowest entry price here: Growth is $11 a user on monthly billing
  • Basic workflows on Growth
  • Yearly billing saves 20%, per the page

Real limitations

  • Branded documents are a $19 a user add-on
  • The jump from Growth to Pro is $11 to $47 a user on monthly billing
  • Its pricing page lists no client portal, invoicing or texting

Skip it if: You need billing and a client portal next to the CRM.

monday CRM monday.com ↗

Best for: Teams already on monday.com boards that want leads, contacts and deals in the same visual workspace.

Pricing: Per seat a month on monthly billing: Basic $18, Standard $25 and Pro $41; on yearly billing $12, $17 and $28 (“Yearly SAVE 33%”). Ultimate is a custom price. The page showed the same per-seat prices for 10, 5 and 3 seats, and its FAQ says plans start from 3 users. Its “Start free” offer is a 14-day trial. Last checked October 23, 2026.

Where it wins

  • Board-based CRM that fits teams already using monday.com
  • Quotes and invoices on every plan: 20 a month on Basic, 50 on Standard; Standard lists 250 custom automations a month
  • Yearly billing saves 33%, per the page

Real limitations

  • Per-seat pricing: ten people on Standard are $250 a month on monthly billing, at the 10-seat price the page showed

Salesforce Starter Suite salesforce.com ↗

Best for: Small teams that expect to grow into the Salesforce ecosystem and want to start on its entry suite.

Pricing: Starter Suite is $25 a user a month, “Billed monthly or annually”. Pro Suite is listed at $100 a user a month billed annually, and the page also lists a Free Suite at $0 (we did not check its limits). Last checked October 23, 2026.

Where it wins

  • Lead, account, contact and opportunity management with built-in sales flows and lead routing
  • Email marketing and analytics in Starter Suite
  • A path into the wider Salesforce platform

Real limitations

  • Pro Suite, the next step up, is $100 a user a month billed annually
  • Per-user pricing: five people on Starter Suite are $125 a month
  • Its pricing page lists no client portal, invoicing or texting in Starter Suite

Skip it if: You want a tool that runs client delivery and billing, not only the sales pipeline.

Workspace369 workspace369.com ↗

Best for: Service businesses of 2 to 20 people whose day runs from proposal to signature to deposit to invoice, with the client portal and client texts and calls on the same record, at a flat team price.

Pricing: Cadet $29/mo (1 seat), Voyager $74/mo (2 seats; adds the shared inbox, texts and calls), Specialist $149/mo (10 seats; adds IVR and call queues, payment plans and basic accounting), Commander $299/mo (20 seats; full accounting), Enterprise $699/mo (50 seats). Extra seats are $10/mo from Voyager; yearly billing saves 20%. A 5-person team pays $104/mo on Voyager and a 10-person team $149/mo on Specialist. Claiming dedicated SMS/voice numbers carries a $50 one-time carrier compliance setup.

Where it wins

  • Proposals clients sign online, a deposit on acceptance, invoices, retainers and recurring invoices on every plan
  • A client portal on every plan
  • A shared inbox from Voyager, with email, texts and calls matched to the client record

Real limitations

  • Not a marketing-automation platform: no sequences, forecasting or marketing hub like HubSpot’s
  • No free plan: a 14-day free trial instead, where HubSpot’s free CRM covers 2 users and Zoho CRM’s 3
  • No direct import from HubSpot: AI Import maps the spreadsheets you export, and deals, email history and sequences don’t transfer

Skip it if: Outbound sales sequences, forecasting or marketing automation are the main reason you use HubSpot.

Stay on HubSpot if…

  • Marketing automation, sequences and forecasting drive your revenue, and you use them every week.
  • Two people or fewer and the free CRM is all you need.
  • Your clients, partners or agency already run on HubSpot and you rely on its app ecosystem.
  • You are past the onboarding fee and the annual commitment, and the team uses what Professional adds.

How to switch from HubSpot

  1. 01

List what you actually use in HubSpot

Note which hubs and seats you pay for and what you rely on each for: contacts, deals, sequences, meeting links, quotes. Anything your next tool lacks needs a replacement first.

  2. 02

    Export before you cancel

Export contacts and companies as CSV, plus deal and activity reports you want to keep. Check the renewal date on any annual commitment.

  3. 03

Start a Workspace369 trial and import

14-day free trial. AI Import maps your exported contacts to clients and shows the AI usage estimate before it saves anything. Open deals are recreated as proposals; email history and sequences don’t transfer.

  4. 04

Run one client end to end, then cancel

Take one real client from proposal to signature, deposit, project and invoice. Cancel HubSpot only after that client has paid through the new setup, and keep the exports.

There is no direct import from HubSpot, but you don’t retype contacts: export them as CSV, and Workspace369’s AI Import maps the columns. For the side-by-side version, start with the head-to-head:
