Switch from Accelo

Moving from Accelo? Check whether you need its depth first.

Accelo is professional services automation: quotes, projects, retainers, timesheets, billing and resource scheduling for firms that need capacity and margin control. Workspace369 is a lighter, flat-priced workspace for small teams: clients, proposals clients sign online, a client portal, a shared inbox with texting and calls, scheduling, projects with time tracking, automations and AI. It does not match Accelo on capacity planning or integrations, and this page says so. There is no Accelo importer or sync. What Workspace369 does have is AI Import, which maps your own spreadsheet columns and shows what it will cost before it writes anything.

14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first

What moves, what doesn't

There is no one-click import from Accelo, and no sync between the two. You export spreadsheets from Accelo and AI Import does the column mapping. Ask Accelo which exports your plan includes before you plan the move.

Moves with you

  • Clients, products and services, invoices and expenses. Export the lists you need from Accelo as spreadsheets, upload the CSV or XLSX and AI Import maps the columns to the right fields. You review the mapping first.
  • The cost, before you commit. The import shows how much of your monthly usage it needs before it starts, so nothing runs on a surprise bill.
  • Reports and files. Keep the Accelo reports and PDFs you need as your records, and attach them to the client record or project.

You re-create or leave behind

  • Retainers, service agreements and project templates. Workspace369 has retainers and payment schedules, but you set them up again from your agreements. Nothing is carried over automatically.
  • Capacity, utilization and margin reporting. Workspace369’s feature matrix does not list capacity or utilization views, so there is nothing to move these into. See the stay list below.
  • Time entries. AI Import’s record types are clients, products and services, invoices, proposals and expenses, so time entries are not among them. Track time fresh in Workspace369.
  • Tickets, change orders and Accelo’s integrations. These are not carried across, and Workspace369 has no Accelo sync. Rebuild the intake you need with public intake forms and automations.

No lock-in either way: the workspace owner can request a full data export from Workspace369 at any time.

Two different weights

What each tool is built for

Accelo is built for firms that run on utilization and margin. Workspace369 is built for small teams that want one workspace for client work. Here is where each one is the better choice.

Where Workspace369 is stronger

  • A visible, flat price for small teams, with seats included in each plan.
  • Proposals that clients review, accept and sign online, and a client portal for projects, task boards, comments and invoices.
  • A shared inbox with texting, calling and voicemail from Voyager, plus a shared calendar on every plan and online booking from Specialist.
  • Automations and AI across the workspace, drawing on your plan's monthly usage.
  • Timers, timesheets and billable time on every plan.

Where Accelo is stronger

  • PSA depth. Accelo lists project management with timelines, dependencies and milestones, plus change orders and budget tracking against scope.
  • Resource scheduling and capacity. Accelo lists capacity, availability and utilization views, and pipeline demand against capacity.
  • Retainer and service-agreement management, with retainer performance data and realization rates across clients, projects and teams.
  • Integrations. Accelo’s integrations page lists HubSpot, Salesforce, HiBob, BambooHR, Xero, Sage Intacct, QuickBooks and Jira.
  • Implementation help. Its pricing FAQ says plans include implementation guidance and onboarding support.

The cost math

Accelo has no posted price, Workspace369 does

Accelo’s pricing page says its pricing is based on your team size and growth goals, and it asks you to request a custom quote. It shows no plan names, per-user prices or trial, and it has no billing toggle. So we cannot say which tool costs less for your team. What we can show is what Workspace369 costs at each size, using the lowest-priced option that fits.

Checked October 16, 2026 on accelo.com/pricing. Workspace369 prices are monthly. Plan features differ: texting and calling start on Voyager, so the plan that fits your headcount may not be the plan with the features you need.

Team sizeAccelo, monthlyWorkspace369, monthly
1 personNo posted price: custom quote. Accelo says it works best for teams of 15+.$29 (Cadet, 1 seat)
3 peopleNo posted price: custom quote$84 (Voyager $74 + 1 extra seat at $10)
5 peopleNo posted price: custom quote$104 (Voyager $74 + 3 extra seats at $10)
10 peopleNo posted price: custom quote$149 (Specialist, 10 seats)
15 peopleNo posted price: custom quote$199 (Specialist $149 + 5 extra seats at $10)
20 peopleNo posted price: custom quote$249 (Specialist $149 + 10 extra seats at $10), or $299 on Commander with 20 seats included

On its pricing and demo pages, when the Employee Range field is set to 1-9, Accelo shows the line “Accelo works best for growing teams of 15+ users.” We did not see it for 10-19. We found no stated minimum, so if you are under 15 people, ask Accelo what it would quote you before you plan around it. Source: Accelo pricing, checked October 16, 2026.

On Workspace369, texting and calling start on Voyager ($74), online booking, payment plans, expenses and basic accounting start on Specialist ($149), and full accounting starts on Commander ($299).

Step by step

The setup checklist

Seven steps, in order. Run them alongside Accelo and cancel only when a real client has gone through the new setup.
  1. Decide whether you use Accelo’s depth

List what you rely on: capacity views, margin reports, change orders, tickets or its integrations. Anything on that list that Workspace369 does not have needs a replacement first, or a reason to stay.

  2. Export what you want from Accelo

Ask Accelo which exports your plan includes, and check the notice and renewal terms in your agreement. Save client lists, open invoices, time entries, retainers and any reports you need for your records.

  3. Start the trial and set up your services and prices

The 14-day trial is enough time to try one client end to end. Add your services, packages and rates first so proposals and invoices take minutes afterwards.

  4. Run AI Import for each record type

Upload a CSV or XLSX for clients, products, invoices, proposals, projects or expenses. AI Import maps your columns, you review the mapping, and the usage it needs is shown before you start.

  5. Re-create your retainers, templates and projects

Set up retainers and payment schedules from your agreements, rebuild the proposal templates you actually use, then create projects for live work. Most people rebuild a short list, not everything.

  6. Add your team, inbox and calendar

Seats are included in the plan, with extra seats at $10 a month from Voyager. Connect your inbox and calendar, and turn on texting and calling from Voyager if clients reach you by phone.

  7. Run both for a while, then cancel

Take one real client from proposal to project to tracked time to invoice in Workspace369. Cancel Accelo only after that works, and keep your exports.

Fair is fair

Stay on Accelo if…

  • Capacity and utilization run your business. Accelo lists capacity, availability and utilization views and AI recommendations for matching people to work. Workspace369 does not list these.
  • You manage retainers and fixed-fee projects side by side and watch margin. Accelo lists budget consumption against scope, change orders and realization rates.
  • You rely on its integrations. Workspace369 has no Accelo, HubSpot, Salesforce or Jira sync of the kind Accelo lists.
  • You want onboarding included. Accelo says plans include implementation guidance and onboarding support.
  • You need a native Android app. Workspace369’s native app is for iPhone and iPad; there is no Android app.

FAQ

Switching questions, answered straight

What is the best Accelo alternative?

It depends on whether you need resource planning. Accelo lists no prices. For Accelo-style resourcing at a posted price, compare Productive Essential ($12 a user a month on monthly billing, $10 billed yearly, three-seat minimum) or Teamwork Accelerate ($29.99 a user a month, $24.99 billed yearly). Workspace369 Voyager ($74/mo, 2 seats) puts clients, proposals, invoices, the client portal, texts and calls in one workspace, but has no capacity planning. Stay on Accelo if capacity and utilization views are central. Prices checked October 19, 2026; the Accelo alternatives page has the full comparison.

Does Workspace369 integrate with Accelo?

No. Workspace369 has no Accelo integration or sync, and it has no Accelo-specific importer. Export your records from Accelo as spreadsheets and use AI Import to bring them in.

How much does Accelo cost?

Accelo does not post a price. When we checked on October 16, 2026, its pricing page said pricing is based on your team size and growth goals and offered a custom quote, with no plan names, per-user prices or trial shown. Its FAQ says plans include implementation guidance, onboarding support and access to its full platform.

Accelo pricing ↗

Is Workspace369 cheaper than Accelo?

We cannot say, because Accelo publishes no price. Workspace369 does: Cadet is $29 a month for one seat, Voyager is $74 for two seats plus $10 per extra seat, and Specialist is $149 for ten seats. Get an Accelo quote for your headcount and compare it with the table above.

Does Accelo have a minimum team size?

We found no stated minimum. On its pricing and demo pages, selecting an Employee Range of 1-9 shows the line “Accelo works best for growing teams of 15+ users.” We did not see that line for 10-19. If you are under 15 people, ask Accelo what it would quote you.

Can Workspace369 replace Accelo?

Partly. Workspace369 covers clients, proposals clients sign online, retainers and payment schedules, the client portal, projects, time tracking, a shared inbox with texting and calling, scheduling, automations and AI. Its feature matrix does not list capacity or utilization views, so a firm that depends on Accelo’s resource scheduling and margin monitoring should keep it.

How do I get my data out of Accelo?

Ask Accelo which exports your plan includes, then upload the CSV or XLSX files to AI Import. We have not tested every Accelo export, so check the columns before you rely on them.

What does AI Import cost?

It draws on your plan’s monthly AI usage, and the usage it needs is shown before you start the import, so you can decide before anything runs. Email credits are separate.

Am I locked in to Workspace369?

No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.

Which plan do I need for texting and calls?

Two-way SMS, calling and voicemail start on Voyager ($74/month, 2 seats). Time tracking with timesheets and time-to-invoice is included on every plan, from Cadet ($29/month, 1 seat).
