Move your client work from Paymo to Workspace369.
Paymo is project management with time tracking and invoicing built in, aimed at small agencies and freelancers. On monthly billing, Solo is $9.90 for one user, Plus is $15.90 a user a month and Pro $23.90 ($5.90, $10.90 and $16.90 billed annually), and there is a free plan for one user. If you have outgrown it on the client side (winning work, signed proposals, a client portal and one inbox for client conversations), Workspace369 puts that next to projects, time and invoices, with seats included in the plan. Paymo exports clients, projects, estimates and invoices as CSV. There is no Paymo importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Paymo prices were checked on its own pricing page on October 23, 2026.
14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first
What moves, what doesn't
There is no one-click import from Paymo, and Workspace369 does not claim one. Paymo’s table views export as CSV, so clients, estimates and invoices move through AI Import; projects and tasks are set up again.Moves with you
- Your client list, as clients. In Paymo, go to Clients, switch to Table view, choose the columns, select the clients and click Export as CSV. AI Import maps the columns to client records, and you review the mapping first.
- Estimates and invoices. Export invoices from the Invoices table view as CSV (or a ZIP of PDFs for your records); the Estimates table view has the same Export as button, with CSV or ZIP. AI Import reads files of proposals and invoices, and of products too.
- The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.
You re-create these
- Projects and tasks. Paymo exports the project list as CSV, but AI Import doesn’t create projects or tasks. Set up your active projects again; Workspace369 has tasks and subtasks with list, Kanban and calendar views on every plan, and Gantt views and task dependencies from Voyager.
- Time entries and timesheets. Logged time doesn’t come across. Keep Paymo’s time reports for your records, and track new time in Workspace369 with timers, manual entries and weekly timesheets with approvals, on every plan.
- Schedules and leave. Workspace369 has a team calendar, member availability and a team workload view on Commander, but no leave planner. Re-create upcoming bookings on the calendar.
No lock-in either way: the Workspace369 workspace owner can request a full export of the workspace data. In Paymo, each table view (clients, projects, estimates, invoices) has its own export, so export each one before you cancel.
The seat math
Per-user pricing against included seats
Paymo charges per user on Plus and Pro. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.Prices checked October 23, 2026 on the vendors’ own pages, all on monthly billing. Paymo also has a free plan and Solo ($9.90) for one user, and an autumn 2026 offer gave new monthly accounts (created after September 25, 2026) the annual rates for their first 3 months; list prices apply after.
| Team size | Paymo Plus ($15.90) | Paymo Pro ($23.90) | Workspace369 |
|---|---|---|---|
| 1 person | $15.90 | $23.90 | $29 (Cadet, 1 seat) |
| 2 people | $31.80 | $47.80 | $74 (Voyager, 2 seats) |
| 3 people | $47.70 | $71.70 | $84 (Voyager $74 + 1 extra seat at $10) |
| 4 people | $63.60 | $95.60 | $94 (Voyager $74 + 2 extra seats at $10) |
| 5 people | $79.50 | $119.50 | $104 (Voyager $74 + 3 extra seats at $10) |
| 9 people | $143.10 | $215.10 | $144 (Voyager $74 + 7 extra seats at $10) |
| 10 people | $159 | $239 | $149 (Specialist, 10 seats) |
| 20 people | $318 | $478 | $249 (Specialist $149 + 10 extra seats at $10) |
Paymo Plus costs less than Workspace369 for teams of up to 9 (by 90 cents at 9 people), and Workspace369 costs less from 10 people. Against Pro, Paymo costs less for up to 3 people and Workspace369 costs less from 4. Paymo lists guest access, but its pricing page doesn’t list a CRM, lead tracking, signed proposals or a client portal, which Workspace369 includes on every plan. Step by step
The switching checklist
Seven steps, in order.Export what you need from Paymo
From each Table view, export your clients, projects, estimates and invoices as CSV, and save your time reports for your records.
Start the trial and set up your services and prices
The 14-day trial gives you time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.
Run AI Import for your clients
Upload your Paymo CSV files. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.
Set up your active projects
Recreate the projects you are delivering now, with tasks, subtasks, due dates and estimates.
Add your team and set permissions
Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.
Invite clients to the portal
Send proposals, share files and invoices, and let clients follow along in the client portal, which is included on every plan.
Cancel Paymo once you’ve moved
Keep Paymo until your exports are saved and your team works in Workspace369, then cancel or drop to the free plan.
Fair is fair
Stay on Paymo if…
- Your team is small and price per seat matters most. Paymo Plus costs less than Workspace369 for teams of up to 9, and the free plan (1 client, 2 projects) and Solo (3 clients, 5 projects) cover one person for less. Workspace369 starts at $29, with a 14-day free trial and no free plan.
- You schedule people and plan leave in Paymo. Paymo Pro lists employee scheduling and workload and a leave planner. Workspace369 has member availability and a team workload view on Commander, but no leave planner.
- You review creative work with proofing. Paymo lists file proofing and versioning from Plus. Workspace369 shares files with clients in the portal, but has no proofing tool.
- You only need projects, time and invoices. If you don’t need to win work, send signed proposals or give clients a portal, Paymo already covers the core loop.
Pick your plan

FAQ
Switching questions, answered straight
Is there a Paymo importer?
No. Workspace369 has no Paymo-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result. Projects, tasks and time entries are set up again.
How do I export my data from Paymo?
Each list exports from its Table view. For clients, go to Clients, switch to Table view, pick your columns, select the clients and click Export as CSV. Projects export the same way from Projects. Invoices export as a CSV or a ZIP of PDFs from the Invoices table view, and the Estimates table view has its own Export as button (CSV or ZIP).
Is Paymo cheaper than Workspace369?
For small teams, yes. On monthly billing, Paymo Plus ($15.90 a user) costs less than Workspace369 for teams of up to 9, and Workspace369 costs less from 10 people. Paymo Pro ($23.90 a user) costs less for up to 3 people, and Workspace369 costs less from 4. Paymo lists guest access, but its pricing page doesn’t list a CRM, signed proposals or a client portal, which Workspace369 includes on every plan.
Can I bring my Paymo time entries across?
Not as time entries. AI Import doesn’t create projects, tasks or time entries, so keep Paymo’s time reports for your records. In Workspace369 you track new time with timers or manual entries and weekly timesheets with approvals, and turn billable hours into invoices.
What does AI Import cost?
It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.
Am I locked in to Workspace369?
No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
