Move your client work from Smartsheet to Workspace369.

Smartsheet is a strong spreadsheet-style tool for planning and tracking projects, and it can cost less per seat: $12 a member a month on Pro and $24 on Business with monthly billing, and people who only update rows can join as free Contributors. What its pricing page doesn’t list is the client side of the job: proposals, invoices or a client portal, and it lists time and expense tracking under its Resource Management add-on for Business and Enterprise, sold by demo. If you plan client work in sheets and send proposals and invoices from other tools, Workspace369 puts proposals, projects, time, invoices and the client portal on one client record, with seats included in the plan. There is no Smartsheet importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Smartsheet prices were checked on its own pricing page on October 23, 2026.

14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first

What moves, what doesn't

There is no one-click import from Smartsheet, and Workspace369 does not claim one. Anyone with Editor access or higher can export a sheet to Excel, and AI Import reads Excel and CSV files, so your client sheet moves; project plans are set up again.

Moves with you

  • Your client sheet, as clients. Open the sheet and select File, Export, Export to Microsoft Excel. AI Import reads the Excel file, maps the columns to client records, and you review the mapping first.
  • Products, proposals or invoices. If you track a price list, proposals or invoices in sheets, export those to Excel too. AI Import reads files of products, invoices and proposals.
  • The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.

You re-create these

  • Project plans and Gantt charts. AI Import doesn’t create projects or tasks, and Smartsheet’s Excel export keeps only the task list behind a Gantt chart. Set up your active projects again; Workspace369 has tasks and subtasks with list, Kanban and calendar views on every plan, and Gantt views and task dependencies from Voyager.
  • Formulas, comments and attachments. Formulas, groupings and summary rows don’t survive the Excel export, dropdown and checkbox columns come out as plain values, comments land on a separate tab, and attachments are left out. On Business and Enterprise, a sheet backup includes comments and attachments. Keep it for your records.
  • Automations. Rebuild your key automations as Workspace369 workflows. Email automations run on every plan, and SMS steps start on Voyager.

No lock-in either way: the Workspace369 workspace owner can request a full export of the workspace data. In Smartsheet, any plan can export sheets and reports by hand, and Business and Enterprise add recurring weekly backups. Backups don’t include reports, dashboards, formulas, workflows or formatting, so treat them as an archive.

What changed at Smartsheet

Smartsheet builds for portfolios. We found no client invoicing on its plan list.

Smartsheet closed its Free plan to new sign-ups on August 28, 2024. On January 22, 2025, it left the New York Stock Exchange after funds managed by Blackstone and Vista Equity Partners completed an acquisition valued at about $8.4 billion. Its pricing page now builds toward portfolios, scenario planning and data tools for large organizations, and says the Pro plan is only available to new customers. Below: what Workspace369 adds for client work, and what Smartsheet does better.

Where Workspace369 fits client work better

  • Proposals and invoices on every plan, with billable time that turns into invoices. We found no proposal builder or client invoicing on Smartsheet’s pricing page.
  • E-signature on the first plan. Contracts and e-signature are on every Workspace369 plan. Smartsheet lists e-signature with Docusign on Enterprise and Advanced Work Management.
  • A client portal included. Smartsheet’s secure request management (Dynamic View) is a paid add-on from Business. Workspace369’s portal for files, invoices and messages is on every plan.
  • Texting, calls and online booking: texting and calls from Voyager, online booking from Specialist. We found none of the three on Smartsheet’s pricing page.

Where Smartsheet is stronger

  • Formulas at scale. Rich formulas and unlimited sheets, forms and reports on Pro.
  • Automation volume. 250 automations a month on Pro and unlimited on Business.
  • Workload tracking and a timeline view on Business.
  • Data tools for big systems. Data Shuttle, Connectors and DataMesh on Advanced Work Management.
  • Enterprise integrations. Workday, ServiceNow, Microsoft Dynamics 365 and HubSpot on Enterprise and Advanced Work Management.
  • SAML-based single sign-on and directory integrations on Enterprise.

The seat math

Per-user pricing against included seats

Smartsheet charges per member: $12 a month on Pro, for 1 to 10 members, and $24 on Business, from 3 members, with monthly billing. Contributors who only work in shared sheets are free. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.

Prices checked October 23, 2026 on the vendors’ own pages, on monthly billing.

Team sizeSmartsheet Pro ($12)Smartsheet Business ($24)Workspace369
1 person$12$72 (3-member minimum)$29 (Cadet, 1 seat)
2 people$24$72 (3-member minimum)$74 (Voyager, 2 seats)
5 people$60$120$104 (Voyager $74 + 3 extra seats at $10)
10 people$120$240$149 (Specialist, 10 seats)
20 peopleNot offered (10-member cap)$480$249 (Specialist $149 + 10 extra seats at $10)

Smartsheet often wins on price. Pro costs less than Workspace369 at every size it covers (up to 10 members), and Business, with its 3-member minimum, costs less at 2 and 3 people; Workspace369 costs less than Business for one person and from 4 people ($94 against $96). Free Contributors can lower a Smartsheet bill further. What the Workspace369 price buys is the client work Smartsheet’s pricing page doesn’t list: proposals, invoices, a client portal, and timesheets that become invoices, all on every Workspace369 plan. Step by step

The switching checklist

Seven steps, in order.
  1. Export what you need from Smartsheet

Export your client sheet and any active project sheets to Excel from File, Export. On Business or Enterprise, request a backup to keep comments and attachments.

  2. Start the trial and set up your services and prices

The 14-day trial gives you time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.

  3. Run AI Import for your clients

Upload the client Excel file. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.

  4. Set up your active projects

Recreate the projects you are delivering now with tasks, subtasks and due dates.

  5. Add your team and set permissions

Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.

  6. Send your first proposal

Send a proposal from the client record. When the client signs, it becomes a project; log time against it and turn billable hours into an invoice, all visible in the client portal.

  7. Downgrade Smartsheet once you’ve moved

Keep Smartsheet until your exports are saved and your team works in Workspace369, then remove the members who no longer need it.

Fair is fair

Stay on Smartsheet if…

  • You think in spreadsheets. If rows, formulas and cross-sheet references are how your team plans, Smartsheet does that well, and Workspace369 isn’t a spreadsheet.
  • Most of your team are Contributors. If only a few people own sheets and everyone else updates rows, Smartsheet charges only the members (Contributors are free, and Business adds free Guests), which can cost far less than seats for everyone.
  • You run large programs and portfolios. Smartsheet sells portfolio, scenario planning and resource management tools for big programs. If that is your work, weigh it before you move.
  • Your plans live in Gantt charts. Smartsheet includes Gantt view on Pro. Workspace369 has Gantt views from Voyager, so check yours carry over.

FAQ

Switching questions, answered straight

Is there a Smartsheet importer?

No. Workspace369 has no Smartsheet-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result. Project plans are set up again.

How do I export my data from Smartsheet?

Open a sheet and select File, Export, Export to Microsoft Excel; you need Editor access or higher. Formulas aren’t kept, comments go on a separate tab, and attachments are left out. On Business and Enterprise, a backup includes comments and attachments.

Smartsheet: Export a sheet, report, workspace, or folder ↗

Is Smartsheet cheaper than Workspace369?

Often, per seat. On monthly billing Smartsheet Pro is $12 a member for up to 10 members, and Business is $24 a member from 3 members; Contributors are free. Pro costs less than Workspace369 at every size it covers, and Business costs less at 2 and 3 people. Smartsheet’s pricing page doesn’t list proposals, invoices or a client portal; Workspace369 includes them on every plan.

Does the Workspace369 trial need a card?

Yes. You add a card to start the 14-day trial on Cadet through Commander, and nothing is charged if you cancel in Settings → Billing before it ends. Keep Smartsheet running while you try it, and cancel Smartsheet once your clients and open work have moved.

Does Workspace369 track time and bill it?

Yes, on every plan. Workspace369 has timers, manual entries and weekly timesheets with approvals, and turns billable hours into invoices. Smartsheet lists time and expense tracking under its Resource Management add-on for Business and Enterprise, sold through a demo.

What does AI Import cost?

It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.

Am I locked in to Workspace369?

No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.

Ready to make the move?

Start the trial, run the checklist above, and downgrade Smartsheet once your exports are saved and your team is working in Workspace369.
