Move your client work from Zoho Projects to Workspace369.
Zoho Projects is a capable, low-cost project tool with time logs and timesheets from its first paid plan: $5 a user a month on Premium, $10 on Enterprise and $15 on Ultimate with monthly billing, and free for up to 5 users and 3 projects. Premium and Enterprise are much cheaper per seat. What its pricing page doesn’t list is the client side of the job: proposals or a client portal, and it lists invoicing only as integrations with other Zoho apps, such as Zoho Books & Invoice. If you deliver in Zoho Projects and sell and bill in other tools, Workspace369 puts proposals, projects, time, invoices and the client portal on one client record, with seats included in the plan. There is no Zoho Projects importer in Workspace369. What it has is AI Import, which maps your spreadsheet columns and shows what it will cost before it writes anything. Zoho Projects prices were checked on its own pricing page on October 23, 2026.
14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first
What moves, what doesn't
There is no one-click import from Zoho Projects, and Workspace369 does not claim one. AI Import reads CSV and Excel files, so your client list moves from wherever you keep it; projects and tasks are set up again.Moves with you
- Your client list, as clients. If your client list lives in another app, such as Zoho CRM or a spreadsheet, export it from there as CSV. AI Import maps the columns to client records, and you review the mapping first.
- Products, proposals or invoices. If your price list or past invoices live in your accounting tool, export them as CSV. AI Import reads files of products, invoices and proposals too.
- The cost, before you commit. The import shows its AI usage estimate before it starts, so nothing runs on a surprise bill.
You re-create these
- Projects and tasks. AI Import doesn’t create projects or tasks. Set up your active projects again; Workspace369 has tasks and subtasks with list, Kanban and calendar views on every plan, and Gantt views and task dependencies from Voyager.
- Time logs and documents. Export the task and timesheet data you want to keep as spreadsheets, and download the project documents you need before you cancel.
- Workflows and blueprints. Rebuild your key automations as Workspace369 workflows, and set up your repeatable projects again. Email automations run on every plan, and SMS steps start on Voyager.
No lock-in either way: the Workspace369 workspace owner can request a full export of the workspace data. In Zoho Projects, you can export tasks to spreadsheet files, and the portal owner on a paid plan can run a data backup in XML from Settings; documents aren’t included in it.
Part of a bigger suite
Zoho Projects leans on other Zoho apps for billing and signatures
Zoho Projects’ pricing page lists the client side of the job as connections to other Zoho apps: Zoho Books & Invoice for billing, Zoho Sign for signatures and Zoho CRM for sales. If you already pay for those apps, that is a sensible set. If you don’t, sending a proposal, getting it signed and billing the client means adding and connecting more subscriptions. Workspace369 keeps that work in one.Where Workspace369 fits client work better
- One subscription for the client side. Proposals, contracts with e-signature, invoices and a client portal are built in on every plan, so none of it depends on a second app.
- Proposals that become projects. A signed proposal turns into a project and then an invoice on the same client record. We found no proposal builder on Zoho Projects’ pricing page.
- Intake forms that create clients, with request-to-client conversion, on every plan.
- Texting and calls from Voyager, and online booking from Specialist. We found neither on Zoho Projects’ pricing page.
Where Zoho Projects is stronger
- Task Blueprints and workflow actions, with 5,000 executions a month on Premium and 50,000 on Enterprise.
- Multi-level timesheet approvals from Premium.
- A portfolio dashboard and a sandbox on Enterprise.
- Single sign-on, two-factor authentication and a user hierarchy on Enterprise.
- A Power BI integration on Enterprise.
- The rest of Zoho. Zoho CRM, Books & Invoice, Sign, Forms, Desk and Analytics are listed as in-house integrations.

The seat math
Per-user pricing against included seats
Zoho Projects charges per user: $5 a month on Premium and $10 on Enterprise with monthly billing, and its Free plan covers up to 5 users and 3 projects. Workspace369 plans include a set number of seats, with extra seats at $10 from Voyager.Prices checked October 23, 2026 on the vendors’ own pages, on monthly billing.
| Team size | Zoho Projects Premium ($5) | Zoho Projects Enterprise ($10) | Workspace369 |
|---|---|---|---|
| 1 person | $5 | $10 | $29 (Cadet, 1 seat) |
| 2 people | $10 | $20 | $74 (Voyager, 2 seats) |
| 5 people | $25 | $50 | $104 (Voyager $74 + 3 extra seats at $10) |
| 10 people | $50 | $100 | $149 (Specialist, 10 seats) |
| 20 people | $100 | $200 | $249 (Specialist $149 + 10 extra seats at $10) |
Zoho Projects wins on price, by a wide margin: Premium and Enterprise both cost less than Workspace369 at every team size, and up to 5 users can start free on 3 projects. What the Workspace369 price buys is the client work Zoho Projects’ pricing page doesn’t list: proposals, a client portal, and invoices on the same record as the work, all on every Workspace369 plan, without a separate billing app. Source: Zoho Projects pricing, checked October 23, 2026.
Step by step
The switching checklist
Seven steps, in order.Export what you need from Zoho
Export your client list as CSV from the Zoho app or spreadsheet it lives in, and export the task and timesheet data you want to keep from Zoho Projects.
Start the trial and set up your services and prices
The 14-day trial gives you time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.
Run AI Import for your clients
Upload the client CSV. AI Import maps your columns, you review the mapping, and the AI usage estimate is shown before you start.
Set up your active projects
Recreate the projects you are delivering now with tasks, subtasks and due dates.
Add your team and set permissions
Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.
Send your first proposal
Send a proposal from the client record. When the client signs, it becomes a project; log time against it and turn billable hours into an invoice, all visible in the client portal.
Leave Zoho Projects once you’ve moved
Keep Zoho Projects until your exports are saved and your team works in Workspace369, then cancel it or reduce your users.
Fair is fair
Stay on Zoho Projects if…
- You already run on Zoho. If Zoho CRM and Zoho Books already handle sales and billing and they work together well for you, Zoho Projects fits that set at a low price.
- Price per seat decides it. Zoho Projects Premium and Enterprise cost a fraction of Workspace369 per user, and its Free plan covers up to 5 users and 3 projects. Workspace369 starts at $29 a month, with a 14-day free trial and no free plan.
- You need project budgets and earned value. Zoho Projects lists project budgets and EVM from Premium, and critical path and baselines on Enterprise.
- Your work is projects, not clients. If you deliver internal projects with no proposals, invoices or client updates, Workspace369’s client tools won’t add much.

FAQ
Switching questions, answered straight
Is there a Zoho Projects importer?
No. Workspace369 has no Zoho-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result. Projects and tasks are set up again.
How do I export my data from Zoho Projects?
Export tasks and timesheets to spreadsheet files, and download the project documents you need separately. On a paid plan, the portal owner can also run a data backup in XML from Settings, which leaves out documents. Export your client list from the Zoho app or spreadsheet where you keep it.
Is Zoho Projects cheaper than Workspace369?
Yes, by a wide margin. On monthly billing Zoho Projects Premium is $5 a user and Enterprise $10, and the Free plan covers up to 5 users. Both paid plans cost less than Workspace369 at every team size. Zoho Projects’ pricing page doesn’t list proposals or a client portal, and it lists invoicing only as integrations with other Zoho apps; Workspace369 includes all three on every plan.
Does the Workspace369 trial need a card?
Yes. You add a card to start the 14-day trial on Cadet through Commander, and nothing is charged if you cancel in Settings → Billing before it ends. Keep Zoho Projects running while you try it, and cancel Zoho Projects once your clients and open work have moved.
Does Workspace369 track time and bill it?
Yes, on every plan. Workspace369 has timers, manual entries and weekly timesheets with approvals, and turns billable hours into invoices on the same client record. Zoho Projects has time logs and timesheets from Premium, and lists invoicing only through integrations with other Zoho apps.
What does AI Import cost?
It counts toward your workspace’s AI usage, and the AI usage estimate is shown before you start the import, so you can decide before anything runs. AI usage is separate from email credits.
Am I locked in to Workspace369?
No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.
