First page of the website maintenance agreement template: a "Website Care Plan for [Client business name]" header with prepared for, prepared by, date, site covered and start lines, then the parties section and a list of what the plan covers each month.

What is inside the template

8 sections, in the order a client reads them, each with short guidance you delete before sending.

  1. The parties and the plan

Who looks after which site, for whom, and that the plan runs month to month.

  2. What the plan covers each month

Backups before updates, checks that forms and key pages still work, a set number of edit hours, and fixing anything an update you ran breaks.

  3. What is not covered, and change requests

New pages, redesigns, copy, photos and third-party fees sit outside the plan, and extra work gets a written quote before it starts.

  4. Fee and billing

The monthly fee, when it is billed and due, what happens when a payment is late, and a simple way to price the plan from your own hours.

  5. Response times

How fast you reply, what counts as urgent, your working hours, and a line that you do not run the hosting.

  6. Accounts and access

A table of who owns the domain, the platform plan and the site admin, with your own login instead of the client’s password.

  7. Cancelling and handover

The notice period, what you hand over on the last day, and when the plan ends.

  8. Acceptance

A signature or typed name and the date the first monthly invoice goes out.

Plus a filled-in example

The same care plan completed for a fictional dental practice on Squarespace: backups and checks, 2 hours of edits a month, $240 a month billed in advance, replies within 2 business days and 30 days’ notice to cancel. The figures are made up; price yours from your own hours.

How to use it

  1. Download the PDF to read it, or the Word file to edit it. The Word file also opens in Google Docs and Pages.
  2. List the work you actually do each month and delete what you do not offer.
  3. Set the included hours and price the plan from your hours and rate, using the formula in section 4.
  4. Fill in the accounts table with the client before you start, then send the plan for a signature or typed name.

Questions about the template

Is the website maintenance agreement template free?

Yes. Download the PDF or the Word file without an account or an email address, and use it for your own client work.

What should a website maintenance agreement include?

The work you do each month, how many hours of edits are included, what is not covered, the monthly fee and billing terms, response times, who owns the domain and accounts, and how either side can cancel.

How much should I charge for website maintenance?

Price it from your own hours: add the fixed monthly hours for backups and checks to the included edit hours, then multiply by your hourly rate. The template walks through the math; there is no standard rate to copy.

Is this template legal advice?

No. It is general information. Have your payment, ownership, liability and late-fee wording checked by someone qualified where you work.
