How to Get Around Workspace369: A Full Tour of the App

Workspace369 is a client-work operating system: one app for your clients, projects, calendar, tasks, proposals, invoices, inbox, accounting and AI assistant. This 5:30 tour starts on the dashboard, which shows what needs your attention today, your revenue, overdue invoices and time you haven't billed yet. It then opens every page in the menu, grouped into AI AutoPilot, Clients, Requests, Work, Finance, Communications and Tools, with Settings and Support at the bottom.

What does the Workspace369 dashboard show?

While you're getting started, a card at the top helps you set up your workspace or jump into a new invoice, client or task. Below it, three cards show tasks that are due, today's events and your upcoming reminders, then your revenue for the time period you pick. Further down are an overview of today, expenses by category, overdue invoices, and time you've tracked but haven't billed yet.

What is in the Workspace369 menu?

The menu on the left starts with AI AutoPilot (Today and Chat), Clients and Requests. Below them are Work (Projects, Calendar, Tasks, Reminders, Time Tracking), Finance (Proposals, Contracts, Invoices, Expenses, Accounting, Product Catalog), Communications (Inbox, Emails, Mobile, Workflows, Funnels) and Tools (Notes, Files, Habits), with Settings and Support at the bottom.

Where do inquiries from my website forms go in Workspace369?

They go to Requests. New requests wait there for a reply, and under All you can see every request, where it came from, and whether it became a client.

How do I search in Workspace369?

Click the search bar at the top, or press Command K, and start typing a name. You'll see every client, invoice and appointment that matches. Click a result to open it.

Where are Settings and Support in Workspace369?

Settings holds your business details, your team and your payment settings. Support is right below it in the menu.

Welcome to Workspace369. In this video, I'll walk you through every part of the app, so you know where everything is.

When you log in, you start on your dashboard. While you're getting started, this card at the top helps you set up your workspace, or jump straight into a new invoice, client, or task. Below it, these three cards show what needs your attention today: tasks that are due, today's events, and your upcoming reminders. Below them is your revenue. Use these buttons to change the time period. I'll pick year to date. As you scroll down, you'll see an overview of today, your expenses by category, which invoices are overdue, and how much time you've tracked but haven't billed yet. Back at the top, the bell shows your notifications. For example, when a client opens a proposal, or pays an invoice. And to add something quickly, click New. You can create a task, an event, a note, or a reminder.

Now let's go through the menu on the left, one section at a time. First, AI AutoPilot. Today is where Workspace AI can sort your new emails, texts, and requests for you, and these switches control what it does. In Chat, you can ask Workspace AI about your business. Here, I asked it to plan my day, and it listed what's overdue, and what to do first.

Next is Clients, your customer list. You can see each client's stage, when to follow up next, and where they came from. Click a client to see their details on the side. To add someone new, click Add Client. Requests is where enquiries from your website forms come in. New ones wait here for a reply. Under All, you can see every request, where it came from, and whether it became a client.

Under Work, Projects is where you track each job, with its client, status, priority, and due date. The Calendar shows all of your appointments and jobs for the month. Click one to see the details, like the time, the place, and who's going. Tasks is your to-do board. Each card is a task, and it moves across the columns as the work gets done. Click a task to open it, with its status, who it's assigned to, and its subtasks. Reminders keeps track of the things you don't want to forget, like following up with a client. Click one to see when it's due, and who gets it. In Time Tracking, you can start a timer, or log your hours, and see how much time is ready to bill.

Under Finance, Proposals is where you create quotes, and send them to clients to accept online. Contracts lets you send agreements for clients to sign online. Invoices shows everything you've billed, and whether it's paid, partly paid, or overdue. In Expenses, you record what your business spends, like supplies and fuel. Accounting gives you the bigger picture: the cash you have, what you're owed, what you owe, and your net income. And the Product Catalog holds the services and products you sell, with their prices, so you can add them to proposals and invoices. The Inventory tab shows how much stock you have left.

Under Communications, the Inbox brings your emails, texts, and voicemails together in one place. Emails is a full email inbox, where you can read, write, and send emails. Mobile is for your text messages and calls. Workflows do repetitive work for you, like sending a reminder when an invoice is overdue. Click New workflow to start from a ready-made template, and see each step before you turn it on. With Funnels, you can build simple web pages that turn visitors into new leads. Start from a template, like this contact and booking page, and change anything you like.

Under Tools, Notes is where you write notes, and keep them in folders you can share with your team. Files stores your documents and photos, and links them to clients and projects. Open a folder to see what's inside. And Habits helps you build good daily routines, and see how consistent you've been.

If you're ever looking for something, use search. Click the search bar at the top, or press Command K. Start typing a name, and you'll see every client, invoice, and appointment that matches.
