FAQ
Common questions
Where are the business settings in Workspace369?
Click Settings at the bottom of the menu and start with General. This is how your business appears to your clients, on every invoice, email and page they see.
How do I add my logo to Workspace369?
Your logo is at the top of General in Settings. Click Replace and upload your own from your computer. A square image works best.
Can I use more than one tax rate in Workspace369?
Yes. Add each tax rate in Settings as a tax code, and you can reuse it on any invoice.
How do I set default invoice terms?
In Settings, under Sales, click Invoices. Defaults are what every new invoice starts with: when invoices are due, your tax rate, an optional discount or deposit, and a note to print on every invoice. PDF template sets what your invoice PDFs show, and Document themes sets the page your clients see when they open an invoice.
What can I set for new proposals?
Proposal settings let you choose a theme and an accent color, whether new proposals need the client's signature or a deposit, how many days they stay valid, and the footer text every new proposal ends with. Any proposal you save as a template shows up there too.

Welcome back. In this video, we'll set up your business in Workspace369: your details and logo, your tax rate, and how your invoices and proposals look.
Everything we need is in Settings. Click Settings, at the bottom of the menu. Start with General. This is how your business appears to your clients, on every invoice, email, and page they see. At the top is your logo. To use your own, click Replace, and upload it from your computer. A square image works best. Below it are your business name, legal name, tax ID, and industry. Click any row to change it.
Then your contact details: the email, phone number, website, and address your clients will see. Under Regional, choose your currency, your time zone, and how dates are written, plus the language your documents use. And if you charge more than one tax rate, add each one here as a tax code, so you can reuse it on any invoice.
Next, Brand and looks sets the colors and style of your client portal and your booking page. Workspace369 reads the colors in your logo, and builds three looks around them. You can also start from one of the ready-made looks below. The preview on the right shows exactly what your clients will see when they book with you, so you can check every change before they do.
Now, your invoices. Under Sales, click Invoices. Defaults are what every new invoice starts with. Choose when invoices are due, your tax rate, an optional discount or deposit, and a note to print on every invoice. PDF template decides what your invoice PDFs show, like your logo, your contact details, and the payment terms. And Document themes is the page your clients see when they open an invoice. Pick the design you like, and the preview shows it right away.
Proposals have their own settings. Choose a theme and an accent color for every new proposal. Then decide whether new proposals need the client's signature, or a deposit, and how many days they stay valid. Finally, add the footer text that every new proposal ends with. Any proposal you save as a template shows up here, too. And that's it. Your business is set up, so every invoice and proposal you send looks like you. In the next video, we'll bring in your clients.
