How Workspace369 uses AI

Some Workspace369 features use artificial intelligence (AI). This page lists them, who provides the AI, what happens to your data, how you can tell when AI is involved, and where a person stays in control.

Which features use AI

FeatureWhat the AI does
Ask AI (assistant in the app)Answers questions about your workspace and prepares actions. Anything that changes data waits for your approval by default.
AI draftsDrafts emails, replies, proposals, contract text, descriptions and similar documents. You review and send.
Inbox summaries and call/voicemail summariesSummarizes messages, and transcribes and summarizes recorded calls and voicemails when you turn that on.
Scam and phishing checkScores inbound email for scam risk. It is an automated check, not a guarantee.
Support chat on our site and in the product (when you chat with us)An "AI Assistant" answers first and hands over to a person for refunds, legal and account questions. Its messages are labeled "AI Assistant".
AutoPilotToday: a ranked daily feed with a morning briefing and triage of inbox items. Chat: the Ask AI assistant. You review what it suggests.
Workflow automations with AI stepsClassify or write content as a step in an automation you build.
Receipt scanReads a receipt photo to prefill an expense.
Pages and funnels builderGenerates page text, layouts and images when you ask.
Speech-to-textTurns your voice into text where you use the microphone.
Web researchLooks up public web information when you ask the assistant to.
MCP connectorLets AI tools you choose (for example Claude or ChatGPT) work with your Workspace369 data after you approve access. Those tools are run by other companies under their own terms.

Who provides the AI

  • Our AI features run on Google Cloud Vertex AI (Gemini models) under our Google Cloud agreement.
  • For some workspaces, AutoPilot uses a model called "Jev" from TypeSafe, Inc., which receives titles and short previews of inbox items. We have not yet confirmed written no-training terms with TypeSafe, and we are moving AutoPilot to Google Vertex AI.
  • Speech-to-text and Search-grounded web research also use Google services.
  • Where an AI tool you connect yourself (MCP) is involved, that provider's terms apply to what it does with data it receives from you.

The sub-processor list names every provider: /sub-processors.

What happens to your data

  • We do not use your workspace data to train AI models. Under Google's Vertex AI data-governance terms, Google does not use customer data to train or fine-tune its models without the customer's permission. This statement does not yet cover the TypeSafe model described above.
  • Only what a feature needs is sent to the AI for that request (for example the message you asked to summarize).
  • Google may keep prompts briefly for abuse monitoring, and web-search grounding keeps logs for up to 3 days.
  • Some features, such as Ask AI and the MCP connector, use Google's "global" endpoint, which can serve a request from any region where Google operates. Other AI features run in Google's us-central1 region.
  • AI output is saved in your workspace and in our normal logs.

How you can tell it is AI

  • AI replies in our support chat are labeled "AI Assistant".
  • Drafts show where they came from, and nothing created by AI is sent to your clients until you send it (unless you set up an automation that does).
  • If you ask us whether you are talking to a person or an AI, we will answer truthfully.

People stay in control

  • AI can be wrong. Check AI output before you rely on it or send it.
  • AI output is not legal, tax, financial or medical advice. Contract and proposal drafts are starting points; have a lawyer review important agreements.
  • AI features run when you or an automation you set up uses them. Workspace owners control AutoPilot access in AutoPilot settings.
  • Actions that change data, send messages or spend money ask for your approval unless you chose an automatic mode.
  • Our AI use is billed through the workspace's AI token balance as described on the pricing page.

What AI does not do here

We do not use AI in the Service to make hiring, credit, insurance or similar decisions about people. We do not sell your data.
