Design the invoice page your clients open

Invoice page design lets you choose how the page your clients open from an invoice link looks. Pick one of ten templates and a color palette, then set the typeface and logo size. It is on every plan and is for anyone who wants invoices to look like their brand.

The templates are Classic, Modern, Minimal, Bold, Letterhead, Elegant, Sidebar, Receipt, Statement and Studio, and the app tags the ones that suit your industry as Recommended. For the typeface, keep each template's own or choose sans-serif, serif, grotesque or mono accents. Set the logo size to small, medium or large, and replace the word Invoice at the top with your own document title, like Tax invoice or Bill. A live preview shows the result before you save.

Under Show on invoice, hide details you do not want clients to see, such as your tax ID, the PO number, payment terms, notes or the footer note. Fields without data never show. Page language sets the language of the labels, like Amount due. Your own text is never translated, and pages stay in English until you choose a language.

Page extras are off until you turn them on. The scan-to-pay QR code opens the invoice page on a phone and is printed too. The print button lets clients print from the page. The due date countdown reads Due in 5 days, Overdue by 2 days, or the day it was paid.

To give one invoice its own look, open its editor, find Page design for this invoice, and pick a different template or palette. Use workspace design takes it back, and Preview page shows it first.

Change orders for accepted proposals and paid invoices

Once a proposal is accepted, or a deposit or payment comes in, its items and prices lock, and a banner explains why. To change it, create a numbered change order that shows exactly what changed.

Give the change order a short title and the reason, which is kept in the audit trail and shown to the client, and pick the type of change: client request, scope change, price correction, error correction or other. Then edit, add or remove items. Each line is marked Added, Removed or Changed, with Before and After values. The summary works out the original total, earlier change orders, this change, the new total, what is already paid and the new balance due.

Choose Send to client and they get an email with a link to review and approve it. Nothing changes until they approve. If they approved by email, phone or in person, use Record client approval and add a note on how, which is kept in the audit trail. A change order moves from Draft to Awaiting client to Approved, or ends as Declined or Voided. Workspace settings can require clients to approve themselves and to sign when they do.

The original and every approved change are kept, so you always have a record of what was agreed. If the new total is below what the client already paid, the app warns you to refund the difference from the payments list. Owners can also choose to lock invoices as soon as they are sent, and an invoice locked that way stays locked if you later turn the setting off. Starting a change order needs Specialist or higher; existing ones stay readable on every plan.

  • Reason and type of change on every change order
  • Added, removed and changed lines with before and after
  • Send for approval, or record an approval you got by phone or email
