Move your client work from Bonsai to Workspace369.

Bonsai charges per seat, and Zoom acquired it in a deal Zoom says closed in December 2025. If you are a team of one, Bonsai is the cheaper tool and this page says so. If you are a team of four or more, the seat math tips the other way. There is no Bonsai-specific importer. What Workspace369 does have is AI Import, which maps your own spreadsheet columns and shows what it will cost before it writes anything. Prices below were checked on the vendors’ own pages on October 23, 2026.

14-day free trial. Card required. After the trial: $74/month for Voyager. Renews automatically every month until you cancel. Cancel anytime in Settings → Billing.

The honest part first

What moves, what doesn't

There is no one-click import from Bonsai, and Workspace369 does not claim one. You bring your data as spreadsheets and AI Import does the column mapping.

Moves with you

  • Clients, products, expenses, invoices and proposals. Upload a CSV or XLSX and AI Import maps the columns to the right fields. You review the mapping first.
  • The cost, before you commit. The import shows how much of your monthly usage it needs before it starts, so nothing runs on a surprise bill.
  • Files and notes. Download them from Bonsai and attach them to the client record or project.

You re-create these

  • Time entries. AI Import’s record types are clients, products, expenses, invoices and proposals. Keep your Bonsai time export for your records and track time fresh in Workspace369.
  • Contract and proposal templates. Download them from Bonsai and rebuild the ones you actually use; for most people that is a handful.
  • Links you already sent clients. Old portal, proposal and invoice links keep pointing at Bonsai.
  • Cards on file. Saved payment methods cannot be moved between systems, so clients re-enter their card on their next payment.

No lock-in either way: the workspace owner can request a full data export from Workspace369 at any time. Keep your Bonsai account active until the last open invoice there is paid.

The seat math

Per-seat pricing against flat seats

Bonsai prices every seat: Basic $15, Essentials $25, Premium $39 and Elite $59 per seat per month on monthly billing. Invoicing, proposals, contracts and the client portal start at Essentials. Workspace369 plans include a set number of seats.
Team sizeBonsai Essentials, monthlyWorkspace369, monthly
1 person$25$29 (Cadet, 1 seat)
2 people$50$74 (Voyager, 2 seats)
3 people$75$84 (Voyager $74 + 1 extra seat at $10)
4 people$100$94 (Voyager $74 + 2 extra seats at $10)
5 people$125$104 (Voyager $74 + 3 extra seats at $10)
6 people$150$114 (Voyager $74 + 4 extra seats at $10)
10 people$250$149 (Specialist, 10 seats)

At one, two and three seats Bonsai is cheaper. The lines cross at four people, and from four seats up Workspace369 (Voyager plus extra seats at $10, or Specialist at ten) costs less. Bonsai Premium ($39 per seat) is where QuickBooks and Xero sync, workload views and the removal of Bonsai branding begin, so a team that needs those pays more: ten seats of Premium is $390 a month. The Zoom deal is a second reason people look around. Zoom announced on November 5, 2025 that it was acquiring Bonsai, and its announcement page now says the transaction closed in December 2025. Bonsai keeps its own brand and runs as a standalone platform.

Step by step

The switching checklist

Seven steps, in order.
  1. Export your data from Bonsai

Export your clients, open invoices and time entries, and download your contract and proposal templates. Skip closed work; it stays in Bonsai as your archive.

  2. Start the trial and set up your services and prices

The 14-day trial is enough time to move. Add your services, packages and rates first so proposals and invoices take minutes afterwards.

  3. Run AI Import for each record type

Upload a CSV or XLSX for clients, products, expenses, invoices or proposals. AI Import maps your columns, you review the mapping, and the usage it needs is shown before you start.

  4. Re-create your templates and forms

Rebuild the contract, proposal and questionnaire templates you actually use. Most people rebuild a short list, not everything.

  5. Add your team and set permissions

Seats are included in the plan, with extra seats at $10 a month from Voyager. You can limit a contractor to the clients assigned to them.

  6. Connect Stripe for payments

Workspace369 payments run on Stripe. Connect once and every invoice goes out with a payment link, with payment plans on Specialist and above.

  7. Cancel Bonsai when the last open invoice there is paid

Keep the account active until then. Once the final invoice clears and you have your exports, cancel.

Fair is fair

Stay on Bonsai if…

  • You work alone and need contracts plus invoices. Bonsai Essentials is $25 a month for one seat on monthly billing ($19 on annual billing), which is less than Workspace369 Cadet at $29. For one person, Bonsai is the cheaper tool.
  • You do not need a shared inbox, texting or calling. Bonsai’s pricing page does not list a shared email inbox or SMS and calls (checked October 23, 2026). If you do not need them, you are not paying for what you do not use.
  • Your workflow already runs smoothly. If your templates work and the seat count will not grow, a move has a real cost in hours and no payoff.

FAQ

Switching questions, answered straight

Is there a Bonsai importer?

No. Workspace369 has no Bonsai-specific importer and no one-click import. What it has is AI Import: you upload a CSV or XLSX of clients, products, expenses, invoices or proposals, it maps the columns, and you review the result.

Is Bonsai cheaper than Workspace369?

For one person, yes. Bonsai Essentials is $25 a month per seat on monthly billing, against $29 for Workspace369 Cadet. Bonsai stays cheaper at two and three seats. At four seats Bonsai Essentials is $100 and Workspace369 Voyager with two extra seats is $94, and at six seats it is $150 against $114, so a growing team comes out ahead on Workspace369.

Did Zoom buy Bonsai?

Yes. Zoom announced on November 5, 2025 that it was acquiring Bonsai, and Zoom’s announcement page says the transaction closed in December 2025. Bonsai keeps its own brand and runs as a standalone platform.

Zoom’s announcement ↗

What does AI Import cost?

It draws on your plan’s monthly AI usage, and the usage it needs is shown before you start the import, so you can decide before anything runs. Email credits are separate.

Am I locked in to Workspace369?

No. The workspace owner can request a full export of the workspace data and can delete the workspace, with a 24-hour grace period to cancel the deletion.

Which plan do I need for time tracking?

Time tracking with timesheets is included on every plan, from Cadet ($29/month, 1 seat). Bonsai includes time tracking from its Basic plan too. Two-way SMS and calling start on Voyager ($74/month, 2 seats).

How long does switching take?

Most teams re-enter their active work in a few hours: current clients, open proposals and unpaid invoices. Rebuilding contract and proposal templates is usually the longest part.
