How to export everything from Bonsai (2026)
How to export from Bonsai: a checklist covering account data as CSV, Invoice and Activity reports, contracts as PDF and what has no documented export.
Workspace369 publishes this guide and sells an alternative client-work platform. Every Bonsai step below comes from a page on help.hellobonsai.com or hellobonsai.com and is linked where it is used. On October 16, 2026 we read the account data export article directly; Bonsai’s help center blocked automated reading of its other articles, so the contract, report and cancellation steps come from those articles’ published summaries. Check each article in your account before you rely on it.
If you are leaving Bonsai, export first and cancel last. This guide is a checklist of what Bonsai's own help center says you can take with you (the account data export steps were read directly on October 16, 2026; the contract, report and cancellation articles could not be opened directly that day, so confirm those steps in your account), how to do each export, and what has no documented export. Where there is a gap, I say so and give a generic workaround, labelled as one.
Every step links to the Bonsai page it comes from. I checked them on October 16, 2026. Bonsai is now part of Zoom: Zoom's announcement page says the transaction closed in December 2025. Menus can change after an acquisition, so compare each step with what you see on screen.
Key takeaways
- Bonsai exports account data as CSV from Company Settings, then Data, then Download Data CSV. Each download holds one data type, and the types include companies, invoices, projects, tasks, expenses and time tracked.
- Bonsai's articles say the Invoice Report and the Activity Report can also be exported as CSV, and contracts saved as PDF (we could not open those articles directly). We found no help article for exporting files, templates or signed proposals as PDF in bulk.
- Per a summary of Bonsai's cancellation article (not opened directly), you can still sign in and open existing projects, client details and documents. Zoom says its acquisition of Bonsai closed in December 2025.
- There is no one-click Bonsai importer in Workspace369. Clients, products, expenses, invoices and proposals come in as CSV or XLSX through AI Import, which maps the columns and shows the AI usage estimate before it writes anything.
- Keep your Bonsai account active until you have opened every file you saved.

Quick answer
Bonsai lets you export account data as CSV (companies, invoices, projects, tasks, expenses and time tracked, one type per file), export the Invoice Report and Activity Report as CSV, and download contracts as PDF. I found no documented export for files, templates, or signed proposals. There is no single "export everything" button.
There is also no one-click Bonsai to Workspace369 importer. You export from Bonsai, then bring the spreadsheets in with AI Import. More on that below. If you want the short version of the whole move, start with switching from Bonsai.
Before you start
- Use the web app. The export options are described for the logged-in web version.
- Do this as the account owner. If you work in a team, a role without access may not see the Data page.
- Do not cancel yet. Keep the account active until the last step.

|---|---|---|
| Clients and contacts | Download Data CSV: companies, company addresses | CSV |

| Projects and tasks | Download Data CSV: projects, tasks | CSV |
| Files | No help article found | Not documented |
| Templates | No export documented | Not documented |
| Accounting and tax reports | Invoice Report, expenses CSV; other reports not documented step by step | CSV |
1. Export your clients and contacts
Per Bonsai's account data export article:
- Click your profile icon and open Company Settings.
- Open the Data tab.
- Scroll to Download Data CSV and choose the dataset.
- Download the file.
Clients sit under the companies dataset, and company addresses is a separate one. Each export holds one data type, so run it twice. I could not confirm from the help center which individual contact fields the companies file holds, so open it and check the columns before you move on.

2. Export your invoices and payments
Two routes, both CSV:
- Download Data CSV. Use the same Data tab as above and pick the invoices dataset.
- Invoice Report. Per the Invoice Report article, the report gives an overview of invoices across your clients and projects, with payment status and due dates, and you can filter by client, project, status, amount and date. The article says it can be exported as CSV.
The help center does not say whether individual invoices can be bulk-saved as PDF. A generic workaround: decide which invoices you need as PDFs. Open and unpaid ones, plus the last tax year, are usually enough, so open those and save them from your browser. Ask your accountant before you archive the rest.
3. Save your proposals and contracts
For contracts, Bonsai's PDF download article gives two routes:
- Go to Client Management, then Contracts.
- Open the additional options menu and choose Download PDF. If the client has already signed, select the Download PDF button and then Download to save it.
The same article notes that for accounts created on or after July 27, 2026, a newer Document Builder combines contracts and proposals, and the steps may differ. Check yours.
I found no help article for downloading signed proposals as PDF. A generic workaround: open each proposal you still need and print it to PDF from your browser, then open the saved file and confirm that signatures and dates are visible.
4. Export your time entries
Per the account data export article, time tracked is one of the Download Data CSV datasets, so every tracked entry comes out in one file.
If you want a summary instead, the Activity Report article says the report shows tracked time by project, task, member and team for a date range, and that the data can be exported as CSV. It is based only on the tracked entries inside your filters, so widen the dates before you export.
5. Export your expenses
Use Download Data CSV and choose the expenses dataset, per the same article. If you synced bank transactions into Bonsai, check that the file has the rows you expect before you rely on it.

6. Export your projects and tasks
Projects and tasks are two more datasets in Download Data CSV. Download both. I could not confirm which fields each file holds, so open them and check that statuses, dates and the client link are there. Task comments and attachments are not mentioned in the article, so treat the CSV as a task list only.
7. Files
I found no Bonsai help article that describes downloading uploaded files or attachments in bulk. A generic workaround: open each active client, download the files you need one at a time, and keep them in a folder named for the client. Do active clients first and archived ones only if you need them.
8. Templates
I found no help article that describes exporting templates, so I am treating this as a gap. Bonsai's help center covers creating contract templates, not exporting them. A generic workaround: copy the text of the contract, proposal and invoice templates you still use into a document, and skip the ones you have not sent in a year. You will rebuild these in the new tool.
9. Accounting and tax reports
The reports you can rely on are the ones above: the invoices and expenses CSV files and the Invoice Report. Bonsai's reporting page says report data can be exported to CSV, but it does not list which reports support it, and I found no step-by-step export guide for the other reports. If you use Bonsai's tax features, I did not confirm their export steps, so ask Bonsai Support or your accountant what you need for each tax year. A generic workaround: run the invoice and expense exports for every year you want to keep and give the files to your accountant.
Bring it into Workspace369
There is no Bonsai importer, and Workspace369 does not claim one. Here is what the process looks like instead.
- Take the companies CSV from step 1, the expenses CSV from step 5, and a spreadsheet of any products, invoices or proposals you want to carry over. Clean the columns a little. Remove clients you no longer need.
- Run AI Import for each record type. You upload a CSV or XLSX of clients, products, expenses, invoices or proposals. AI Import maps your columns to the right fields and you review the mapping. It shows the AI usage estimate before it writes anything. AI Import is on every Workspace369 plan and brings in only what your plan includes, so expenses need Specialist.
- Attach files and notes to the client record or project from the downloads in steps 3 and 7.
- Rebuild the few templates you saved in step 8.
The full checklist, including what moves and what you re-create, is on the switch from Bonsai page. For a feature-by-feature view, see Workspace369 vs Bonsai, or browse the Bonsai alternatives. Leaving another tool? The HoneyBook export checklist and the Dubsado export checklist work the same way.
Old Bonsai links keep pointing at Bonsai, so tell active clients where to go next.
What happens when you cancel
Bonsai's cancellation article (which we could not open directly on October 16, 2026, so confirm it) says cancelling stops future charges, and that afterwards you can still sign in, open existing projects and reach client details and documents. I found no published retention period, so I cannot tell you how long that access lasts. That is a good question for Bonsai Support, in writing, before you cancel.
Final check before you cancel
- Every CSV you downloaded opens correctly and has the row counts you expect.
- The Invoice Report and Activity Report exports you need are saved, for every year.
- Contracts you need are saved as PDF, with signatures visible, and open invoices are paid or moved.
- Files and template text are saved in a folder.
- A second copy of the folder exists somewhere other than your laptop.
Then cancel Bonsai when the last open invoice there is paid. If you want to compare before you commit, the 14-day Workspace369 trial is card-first, so you add a card to start it.
