Send contracts for e-signature from Workspace369

Upload a PDF or use a template, place signature fields, and send it for signing. Signers verify by email code, and you keep an audit trail and evidence file.

A paper contract with a fountain pen, signature, seal and padlock beside a real Workspace369 template editor: the Master services agreement with its clause text, merge fields and Client and Countersigner signature fields.

Send a contract and track who has signed

You can now send a contract for e-signature from Workspace369. Upload a PDF or start from a template, place signature fields, add your signers and send it. It is on every plan and is for anyone who needs a client to sign an agreement online.

Start from a PDF or a reusable template. A PDF can be up to 25 MB and 300 pages. The builder walks you through four steps: PDF document, Recipients, Signing fields, and Review and send. Add each recipient as a Signer, Approver, Viewer, or someone who receives a copy. Recipients with the same signing order act at the same time, and lower numbers go first. A contract can have up to 20 recipients.

Link the contract to a client and the client's details fill in the signer, and the contract also shows on the client's profile. To place a field, pick its type, then tap the page. You can add a signature, initials, date signed, full name, text field or checkbox, up to 500 fields per contract. Drag a field to move it and drag its corner to resize it. Every signer needs at least one signature field.

Choose how signers verify. With Email code, the signer enters a code we email them before they can sign, which we recommend for most contracts. Link only lets anyone with the link sign, and an owner has to allow it first in Settings, under Contract Settings. Set an expiry from 1 to 365 days, then press Send for signature. People in the first signing group are emailed right away, and the document cannot be changed after sending.

Each signer confirms with a code we email them, then signs from a private link. The Contracts list shows where every contract stands, from Draft, Sent and In progress to Completed, Declined, Voided or Expired. Open one to see each recipient as Invited, Opened, Verified or Done, and use Remind to nudge a signer. The app tells you if a signer was already reminded in the last 24 hours.

If something is wrong, void the contract, or choose Void and edit a copy. That ends it for every recipient and gives you a new draft with the same document, recipients and fields. To sign face to face, start in-person signing: you confirm you checked the signer's ID, choose the ID type, and the signing page opens on your device for 15 minutes. To send one template to many people, use Bulk send with clients you select or a CSV of up to 500 rows.

An audit trail and evidence file for every contract

Every contract keeps a History timeline of what happened. It records when the document was sent, each signing link opened and each code sent and verified, plus consent to electronic records, documents viewed, a recipient finishing or declining, and when sealing started. A wrong code or a locked verification shows up there too.

When everyone has signed, the app seals the signed copy. Under Downloads you can then get the Signed PDF, a Certificate of completion and an Evidence file, and the contract tells you whether the audit trail is intact or was altered, and at which event.

Ended contracts (completed, declined, voided or expired) can be deleted for good once the retention period has passed. The owner or an admin sets that period, from 1 to 10 years, in Contract Settings. Deleting removes field values, signatures and working files, while the signed copy stays verifiable and the audit trail is kept.

On plans with a monthly allowance of sent contracts, the send screen shows how many you have used this month before you send.

A completed contract's side panel: Signed, two signers in order, details, downloads for the Signed PDF, Certificate of completion and Evidence file, and an Activity timeline marked Audit trail intact.
