Questions about Gmail
What does the Gmail connection do?
It brings new client email into the Workspace369 Inbox and sends your replies from your own address. A new conversation links itself to the client whose email matches the sender, so the client and quick actions such as Send Invoice sit beside the thread. Today Gmail connects over SMTP and IMAP; one-click Google sign-in is coming soon.
Is one-click Gmail sign-in available?
Not yet. It is coming soon. Until then, choose Other SMTP mailbox in Domains & connections and enter smtp.gmail.com and imap.gmail.com with an app password. Workspace369 then checks for new mail about every two minutes.
Is this a shared inbox?
On Voyager and up, yes: client email lands in the shared inbox where the team can see threads and follow up, instead of living in one person's Gmail. On Cadet, the mailbox feeds your own email inbox.
What do I need for an app password?
Google offers app passwords once 2-Step Verification is on for your Google Account. The option may not appear if 2-Step Verification uses only security keys, if Advanced Protection is on, or if the account belongs to a work or school organization whose admin doesn't allow it.
Does it bring in my old Gmail history?
No. Workspace369 brings in mail that arrives after you connect the mailbox. Older threads stay in Gmail, and you keep your Gmail account as it is.
Can I connect Microsoft 365 instead?
One-click Microsoft 365 connection is coming soon too. Today you can set up a forwarding rule that sends a copy of Microsoft 365 mail to your workspace address so it lands in the Inbox. Your Microsoft 365 admin may need to allow external forwarding.
