Proposals

How to write a web design proposal: outline, packages and pricing.

A web design proposal has to answer the client’s real questions: what will the site do for the business, what exactly is included, what will it cost, and when will it be live. Use this outline to answer each one clearly.

Reviewed

In short

A web design proposal should include the client’s goals, the proposed sitemap and features, the content plan (who writes and supplies what), the design and build process, the timeline, two or three packages with prices, what is not included, hosting and maintenance options, and how to accept and pay the deposit.

Web design proposal outline: sections to include

Use this outline, or download the free web design proposal template (PDF and Word, linked below) that follows it:

  • Goals: what the site must achieve (for example more enquiries, bookings or sales) and how you will measure it
  • Sitemap: the pages or page templates included
  • Features and integrations: forms, booking, blog, online shop, newsletter, analytics
  • Content plan: who writes copy, who supplies photos, and the deadline for content
  • Process: discovery, wireframes, design, build, testing and launch, with review rounds
  • Timeline: milestones and a launch date that depends on content arriving on time
  • Packages and pricing: two or three options with clearly different scope
  • Not included: copywriting, photography, SEO campaigns or custom software, unless added
  • Hosting, domain and maintenance: what the client pays for and an optional monthly care plan
  • Next steps: approve the proposal, sign the contract, pay the deposit, book the kick-off

Package the scope

Packages make pricing easier to compare. For example: Starter (five-page site on a template, one revision round), Standard (up to ten pages, custom design, blog, two revision rounds), Plus (Standard with booking or shop set-up and a three-month care plan). Price each package from your own hours and rates, and say exactly what changes between them.

Handle content and maintenance up front

Late content is the most common reason website projects stall, so put the content deadline in the proposal and say the launch date moves if content is late. Offer maintenance — updates, backups, security checks and small edits — as a separate monthly plan so the project has a clear end.

From proposal to signed project

Follow the proposal with a web design contract that repeats the scope, content responsibilities, payment schedule and ownership terms. In Workspace369, clients approve proposals online, then the contract and deposit invoice follow from the same client record, and you can collect content through the client portal.

FAQ

Common questions

How do I price a web design proposal?

Estimate the hours for each stage (discovery, design, build, content entry, testing and launch), multiply by your rate, add a buffer for revisions, then group the result into two or three packages. Compare with published benchmarks, but price from your own costs.

Should a web design proposal include hosting?

Mention it, but keep hosting and domains in the client’s name where possible. Explain the expected costs and whether you will set them up, and offer maintenance as a separate monthly plan.

How much deposit should a web designer ask for?

Many web designers take 30% to 50% before starting, with the rest split across milestones such as design approval and launch. Put the payment schedule in both the proposal and the contract.

What should I do if the client does not reply to my proposal?

Follow up after three to five working days with a short message that offers a quick call to answer questions. A second follow-up a week later is reasonable; after that, close the loop politely.
