How to export everything from Dubsado (2026)

How to export from Dubsado: a checklist of what it exports (contacts and projects as CSV, invoices as PDF, forms, files, events) and what has no export.

Workspace369 publishes this guide and sells an alternative client-work platform. Every Dubsado step below comes from a page on help.dubsado.com, read on October 16, 2026, and is linked where it is used. Dubsado can change its help center, so check each article before you rely on it.

If you are leaving Dubsado, export first and cancel last. This guide is a checklist of what Dubsado's own help center says you can take with you, how to do each export, and what has no export at all. Where there is a gap, I say so and tell you what to do instead.

Every step links to the Dubsado article it comes from. I read each one on October 16, 2026.

Key takeaways

  • Dubsado exports contacts and projects as CSV. Invoices download one at a time as PDF. Forms download as PDF, and form responses can be exported to CSV.
  • We found no help article for bulk-exporting invoices or payments, signed contracts, templates or workflows. Save those by hand before you cancel.
  • Client files uploaded through a form can only be downloaded one at a time.
  • There is no one-click Dubsado importer in Workspace369. Clients, products, expenses, invoices and proposals come in as CSV or XLSX through AI Import, which maps the columns and shows the AI usage estimate before it writes anything.
  • Keep your Dubsado account active until you have checked every file you saved.

Quick answer

Dubsado lets you export contacts and projects as CSV files, download invoices and forms as PDF, export form responses to CSV, and download uploaded files one at a time. I found no documented export for signed contracts, templates, workflows or the scheduler. There is no single "export everything" button.

There is also no one-click Dubsado to Workspace369 importer. You export from Dubsado, then bring the spreadsheets in with AI Import. More on that below.

  • Use a desktop browser. Dubsado's older export guide says exports are desktop only, and suggests Chrome if a file will not download. A newer article says project export also works in a phone browser. A computer is simpler for this job. Dubsado does have a native iPhone and Android app, per its own help center, but the checklist below is a desktop job.
  • Check your role. Per the project export article, owners and admins can export everything they can view, basic users only projects assigned to them, and accountants cannot export project or contact data. Do this as the owner.
  • Do not cancel yet. Keep the account active until the last step.

1. Export your contacts

  1. Go to the Contacts page.
  2. Click the Export CSV button, the download icon at the top of the list.
  3. In Export data to CSV, pick the columns under Client details, plus any Custom mapped client fields.
  4. Click Export.

Per the contact export article, every contact is exported and the checkboxes only control which columns appear. Fields include name, phone, email, address, the alternate contact, company details and the created date.

Tick every column. You can always ignore one later, but you cannot add one back without exporting again.

Two colleagues at a desk review a checklist document beside an open folder and a desk lamp.

2. Export your projects

The contacts file does not carry your jobs. For those, use the project export.

  1. Open Projects, or open one contact and click its Projects tab.
  2. Click the Export CSV download icon above the list.
  3. Check the count in the dialog, for example "Exporting 12 project(s)."
  4. Under Fields to export, select the groups you want: project details, invoices, client details and custom fields.
  5. Click Export.

The project export article lists the fields. They include the project title, lead or job, status, contract status, dates, tag, team, source, archived flag, primary invoice paid and all invoices paid, and the client and company details.

Two things trip people up:

  • Only what you can see is exported. The file holds the projects in your current view and filters. Per the older guide, you pick a project status first, so export each status you use, including archived work if you want it.
  • Numbers have no currency symbol. Invoice totals come out as plain numbers, and contract status is text such as "Needs sending," "Sent" or "Signed."

3. Save your invoices

This is where Dubsado has no bulk option that I could find. The projects export above carries invoice totals, which is useful for a ledger. The invoice itself downloads one at a time:

  1. Open the invoice.
  2. Click Share.
  3. Click Download as PDF.

That is from Dubsado's send an invoice article. A separate receipts article says completed payments are listed on the invoice, so the PDF doubles as a payment record.

I found no help article for an invoice or payments report as a CSV. If you have a few hundred invoices, decide which ones you need. Open and unpaid ones, plus the last tax year, are usually enough. Archive the rest as PDFs only if your accountant wants them.

4. Save your forms and responses

Dubsado's forms article covers two exports:

  • A form as a PDF. In All forms, click the three-dots icon on the form and download a PDF.
  • Responses as CSV. Click a completed form to see its response summary. The article says you can export that data to CSV.

Intake answers often hold the details you will want in your new client records, such as event dates or project goals. Export them before you cancel.

5. Download client files

Files that clients uploaded through a form are stored with the form. The client file uploader article gives the route:

  1. Open the client's project, then the Forms tab.
  2. Hover over the form and click View.
  3. Scroll to the file uploader, open each file and download it.

Dubsado states plainly that there is no bulk download: you save each file one at a time. For a long list, do it for active clients first and archived ones only if you need them.

One person hands an open folder of documents across a table to a colleague who holds a card and a phone.

6. Signed contracts: no documented export

I could not find a Dubsado help article that explains how to download a signed contract. The send a contract article describes a contract completed email that goes to the client with the signed copy attached. It does not say you get the same copy. A related warning, from the signed contract upload article: removing a signed contract deletes the signed record from the project, so keep a copy before you remove anything.

What to do instead:

  1. Ask Dubsado support, in chat, how to get a PDF of each signed contract in your account.
  2. Check your own email for the completed-contract messages, if you were copied.
  3. Open each important contract and save it as a PDF from your browser's print dialog. That is a general browser feature, not a Dubsado export, so check that the signatures and dates show on the saved file.

Do this for any contract with a live obligation, such as a retainer or a multi-year agreement.

7. Templates, workflows and the scheduler

I found no export for email templates, form templates, contract templates, scheduler templates or workflows. Treat them as something you rebuild.

  • Templates. Copy the text of the ones you still use into a document. Skip the ones you have not sent in a year.
  • Workflows. Write down the steps of each one you rely on: what triggers it, what it sends and when. You will recreate them as automations.
  • Scheduler and calendar. Dubsado's calendar article describes export as pushing Dubsado events, such as appointments, projects with a project date and tasks with a due date, to an external calendar that you sync. It is not a file download. If you need a record of upcoming appointments, export them to a calendar you keep, then review it.

Bring it into Workspace369

There is no Dubsado importer, and Workspace369 does not claim one. Here is what the process looks like instead.

  1. Take the CSV files from steps 1 and 2, and a spreadsheet of any products, expenses, invoices or proposals you want to carry over. Clean the columns a little. Remove closed jobs you do not need.
  2. Run AI Import for each record type. You upload a CSV or XLSX of clients, products, expenses, invoices or proposals. AI Import maps your columns to the right fields and you review the mapping. It shows the AI usage estimate before it writes anything. AI Import is on every Workspace369 plan and brings in only what your plan includes, so expenses need Specialist.
  3. Attach files and notes to the client record or project from the downloads in steps 5 and 6.
  4. Rebuild the few forms, templates and automations you wrote down in step 7.

The full checklist, including what moves and what you re-create, is on the switch from Dubsado page. For a feature-by-feature view, see Workspace369 vs Dubsado. If cost is part of the decision, read the Dubsado price increase guide.

Saved card details cannot move between systems, so clients re-enter a card on their next payment. Old Dubsado links keep pointing at Dubsado, so tell active clients where to go next.

Final check before you cancel

  • Contacts and projects CSV files open correctly and have the row counts you expect.
  • Invoices you need are saved as PDF, with open invoices paid or moved.
  • Form responses and uploaded files are saved.
  • Signed contracts are saved, or you have an answer from Dubsado support.
  • Template text and workflow notes are in a document.
  • A second copy of the folder exists somewhere other than your laptop.

Then cancel Dubsado when the last open invoice there is paid. If you want to compare before you commit, the 14-day Workspace369 trial is card-first, so you add a card to start it.

FAQ

Can I export all my data from Dubsado in one click?

No. Dubsado documents separate exports: a contacts CSV, a projects CSV, invoice PDFs one at a time, form PDFs and form response CSVs, and uploaded files one at a time. We found no single full-account export in its help center.

How do I export my Dubsado client list?

Open the Contacts page, click the Export CSV download icon at the top of the list, choose the columns in the Export data to CSV dialog and click Export. Every contact is exported. The checkboxes only change which columns appear.

Can I export Dubsado invoices and payments?

Partly. The projects export can include the primary invoice paid and all invoices paid as plain numbers. Each invoice can be downloaded as a PDF from Share, then Download as PDF. We found no help article for a bulk invoice or payment report.

Can I export Dubsado contracts?

We found no documented download for signed contracts. Dubsado says removing a signed contract deletes the signed record from the project and tells you to keep a copy of the PDF first. Ask Dubsado support how to get your signed copies before you cancel.

Can I export my Dubsado templates and workflows?

We found no export for email templates, form templates, scheduler templates or workflows. Copy the text of the ones you still use into a document, and rebuild them in the new tool.

Is there a Dubsado importer in Workspace369?

No. Workspace369 has no Dubsado-specific importer and no one-click import. You export from Dubsado, then use AI Import to bring in clients, products, expenses, invoices and proposals as CSV or XLSX. It maps your columns, lets you review them and shows the AI usage estimate before it writes anything.

Does Dubsado have an iPhone app?

Yes. Dubsado has a native app for iPhone (iOS 15 or later) and Android (Android 10 or later), per its help center. Dubsado’s older guide says exports are desktop only, while its newer project export article says a phone browser works. A computer is simpler.

When should I cancel Dubsado?

After you have saved and opened every export, and after your last open invoice there is paid. Cancelling early can cost you records you did not save.
