How to export everything from 17hats (2026)

What 17hats lets you export: contacts as CSV, bookkeeping reports as CSV, documents saved as PDF, plus what has no export and what cancelling does.

Published October 16, 2026 · Updated October 22, 2026 · 10 min read

Workspace369 publishes this guide and sells an alternative client-work platform. Every 17hats step below comes from a page on help.17hats.com, read on October 16, 2026, and is linked where it is used. 17hats can change its help center, so check each article before you rely on it.

If you are leaving 17hats, export first and cancel last. This guide is a checklist of what 17hats' own help center says you can take with you, how to do each export, and what has no export at all. Where there is a gap, I say so and give a generic workaround, labelled as one.

Every step links to the 17hats article it comes from. I read each one on October 16, 2026. If you already know you are moving, the switch from 17hats page covers the whole move, including what comes across and what you re-create.

Key takeaways

  • 17hats exports contacts as a CSV, and the Profit & Loss, Sales Tax and Aged Receivables reports as CSV files. Quotes, contracts, invoices and questionnaires are saved as PDF through your browser's print function, one document at a time.
  • We found no help article for exporting payments, time entries, project files, templates or workflows. The contacts article says project information, including documents, emails and time logs, must be saved individually.
  • This is the reason to export first: 17hats says that once your subscription ends your content is no longer accessible, it keeps content for at least one month, and after 45 days it may delete all of it. It also says renewal is automatic and there may be no notice.
  • There is no one-click 17hats importer in Workspace369. Clients, products, expenses, invoices and proposals come in as CSV or XLSX through AI Import, which maps the columns and shows the AI usage estimate before it writes anything.
  • Keep your 17hats subscription active until you have opened every file you saved.

Why export before you cancel

This is the part of 17hats' refund and cancellation policy that matters most:

  • "Once your active subscription ends, your content will no longer be accessible."
  • 17hats "will maintain your content for at least one month", so reactivating restores it as you left it.
  • "After 45 days, 17hats may, at our sole discretion, delete all of your content." Deleted content cannot be recovered.
  • Your subscription "will renew automatically" at the end of the billing cycle, and "there may not be any notice of this pending renewal."
  • It tells you to export reporting, contact lists and important documents "prior to the end of your subscription."

So the order is: export, open every file, then cancel. The cancel article says you cancel with the Cancel Account button on the plan information page, access continues to the end of your paid billing cycle, and the account does not renew after you cancel.

Quick answer

17hats lets you export contacts as a CSV, three bookkeeping reports (Profit & Loss, Sales Tax and Aged Receivables) as CSV files, and documents (quotes, contracts, invoices, questionnaires) as PDF through your browser's print function. I found no documented export for payments as a list, time entries, project files, templates or workflows. There is no single "export everything" button.

There is also no one-click 17hats to Workspace369 importer. You export from 17hats, then bring the spreadsheets in with AI Import. More on that below.

Before you start

  • Use the account owner login. Reports and bookkeeping live in the owner's account, so do this as the owner.
  • Pick your date ranges. The Profit & Loss and Sales Tax exports run for a timeframe you choose, and Sales Tax opens on Last Month by default. Run each tax year you want to keep.
  • Do not cancel yet. Keep the subscription active until the last step, because of the 45-day rule above.

1. Export your contacts and leads

  1. Go to your Contacts or Leads page.
  2. Click the gear icon in the top right of the section.
  3. Select Export Contacts.
  4. The download starts automatically and saves to your downloads folder.

Per the contact export article, the file is a CSV you can open in Google Sheets or Excel. To export only some contacts, use the filter options or search for a tag before exporting.

Read the limit carefully: the article says "only 'Contact Details' can be exported at this time," and that project information, including documents, project details, emails and time logs, "will need to be saved individually." It does not list the individual fields, so open the file and check the columns.

Two colleagues at a shared desk move documents from a tablet into a cloud folder, with a letter tray and calendar nearby.

2. Export your projects

I found no help article for exporting projects as a file. The contacts article above is explicit that project information must be saved individually. For the Projects section, see the Projects collection, which covers archiving, tagging and moving projects but lists no export.

A generic workaround, not a 17hats feature: open each active project and copy its name, dates, status and balance into a spreadsheet. Do that for live work only, and use the document PDFs below as the record for finished jobs.

3. Save your invoices and payments

An invoice is one of the documents in your account, so it saves as a PDF with the steps in the next section. The Documents tab article says the tab shows invoices, quotes, questionnaires and contracts across all your projects, with filters and sorting, so use it to find them. It describes no export.

For payments, I found no export. The payments article covers recording and matching payments and says nothing about downloading them. What you can export is the money side as reports in step 5: Profit & Loss with transactions shown, and Aged Receivables for what clients still owe.

A generic workaround: decide which invoices you need to keep. Open and unpaid ones, plus the last tax year, are usually enough. Ask your accountant before you set the rest aside.

4. Save your quotes and contracts as PDF

17hats' Save/Print to PDF article gives the route:

  1. Open the document on your documents page and click Print.
  2. In the print dialog, choose the PDF option. On Mac Chrome that is Save as PDF under Destination.
  3. For a higher-resolution file, click Preview, then Print.
  4. Optionally turn off headers and footers in your browser's print settings.

Cautions:

  • Check the signatures. The article does not mention signatures and does not name quotes, contracts or invoices specifically; it says "your documents." Open each saved contract and confirm that the signatures and dates appear before you rely on the PDF.
  • One at a time. I found no bulk document download. The Documents collection has articles on bulk delete, which is the opposite of what you want, so be careful with it until the export is done.

5. Export bookkeeping transactions and reports

This is the best-documented part of 17hats. Each of these is a CSV, found under Bookkeeping, then Reports in the upper right:

  • Profit & Loss. Choose a timeframe with Quick Select or the Date dropdown, click Show Transactions if you want transaction detail, then click Export. Per the Profit and Loss export article, the report exports with transactions if they are shown and without them if hidden.
  • Sales Tax. Choose a timeframe (it opens on Last Month) and click Export on the left, per the Sales Tax export article.
  • Aged Receivables. Click Export on the left, per the Aged Receivables export article.

None of the three articles lists limits on date range or rows, or describes the columns, so check the row count against the screen. Run Profit & Loss and Sales Tax once for each year you want to keep. The Bookkeeping collection lists other reports, such as Upcoming Receivables, but I found no CSV export article for those.

Two colleagues review a folder of reports at a desk with a laptop and a coffee cup.

6. Time entries

I found no export for time entries. The Time Tracking article says logged time appears on the Dashboard and in each project's Time Log tab, and that you can invoice it from there. It describes no download.

A generic workaround: invoice any unbilled time before you leave, then copy the remaining entries from each Time Log into a spreadsheet by hand.

7. Files and documents

I found no help article for downloading project files or attachments in bulk. The documents you can capture are the ones above: save each as a PDF. For anything else attached to a project, such as emails and uploaded files, the contacts article says it "will need to be saved individually."

A generic workaround: open the projects you still care about, save the attachments you need into a folder named after the client, and note the project dates in the folder name.

8. Templates, questionnaires and workflows

Templates and questionnaires. I found no file export. 17hats' Template Sharing article lets you share email, document, lead capture form, scheduling service and workflow templates with another 17hats account through an access code, and says sharing is only available on Premier (Level 3) plans. That moves templates between 17hats accounts, not into another tool. The Templates collection lists no export either.

Workflows. The Workflow Overview covers building and activating workflow templates and does not describe an export. See the Workflows collection for the rest.

A generic workaround: copy the text of the templates you still use into a document, save one PDF of each questionnaire so you remember its questions, and write each workflow as a list of steps and timings. You will rebuild these in the new tool, and the list is usually shorter than you expect.

Bring it into Workspace369

There is no 17hats importer, and Workspace369 does not claim one. Here is what the process looks like instead.

  1. Take the contacts CSV from step 1, and a spreadsheet of any products, expenses, invoices or proposals you want to carry over. Clean the columns a little. Remove contacts you do not need.
  2. Run AI Import for each record type. You upload a CSV or XLSX of clients, products, expenses, invoices or proposals. AI Import maps your columns to the right fields and you review the mapping. It shows the AI usage estimate before it writes anything. AI Import is on every Workspace369 plan and brings in only what your plan includes, so expenses need Specialist.
  3. Attach files and notes to the client record or project from the PDFs in steps 4 and 7. Your old 17hats quotes become reference PDFs, and new work goes out as proposals.
  4. Rebuild the few templates, questionnaires and workflows you wrote down in step 8.

The full move is laid out on the switch from 17hats page. For a feature-by-feature view, see Workspace369 vs 17hats, or browse the 17hats alternatives. Leaving a different tool? The HoneyBook export checklist and the Dubsado export checklist work the same way.

Old 17hats links keep pointing at 17hats, so tell active clients where to go next.

What happens when you cancel

Per 17hats, your account stays active until the end of the paid billing cycle and does not renew after you cancel. After the subscription ends, content is no longer accessible. 17hats says it keeps content for at least one month and may delete all of it after 45 days. That is why the export comes first. I found no promise of a longer retention period, so do not plan around one. If you need certainty, ask 17hats support in writing.

Final check before you cancel

  • The contacts CSV opens correctly and has the row count you expect.
  • Profit & Loss and Sales Tax are exported for every year you need, and Aged Receivables is exported.
  • Invoices, quotes and contracts you need are saved as PDF, with the signatures visible.
  • Time entries and project notes you need are in a spreadsheet or document.
  • Template text, questionnaire questions and workflow steps are written down.
  • A second copy of the folder exists somewhere other than your laptop.
  • You have checked the date your subscription renews, so it does not renew by surprise.

Then cancel 17hats when the last open invoice there is paid. If you want to compare before you commit, the 14-day Workspace369 trial is card-first, so you add a card to start it.

FAQ

Can I export all my data from 17hats in one click?

No. 17hats documents separate exports: a contacts CSV, three bookkeeping reports as CSV, and documents saved as PDF through the browser print function. We found no single full-account export in its help center, and its contacts article says project information must be saved individually.

How do I export my 17hats client list?

Go to Contacts or Leads, click the gear icon, and choose Export Contacts. 17hats says the download starts automatically as a CSV, and that only Contact Details can be exported. To export a subset, filter or search by tag first.

Can I export 17hats invoices and payments?

Partly. Each invoice can be saved as a PDF from your documents page, and the Profit & Loss, Sales Tax and Aged Receivables reports export as CSV from Bookkeeping. We found no help article that exports payments as a list.

Can I export 17hats quotes and signed contracts?

Each can be saved as a PDF with Print and your browser's PDF option. 17hats's PDF article does not mention signatures, so open each saved contract and check that the signatures and dates appear before you rely on it.

Can I export my 17hats time entries?

We found no export. 17hats shows time on the Dashboard and in each project's Time Log tab. Copy the entries you need into a spreadsheet, or invoice the time before you leave.

Is there a 17hats importer in Workspace369?

No. Workspace369 has no 17hats-specific importer and no one-click import. You export from 17hats, then use AI Import to bring in clients, products, expenses, invoices and proposals as CSV or XLSX. It maps your columns, lets you review them and shows the AI usage estimate before it writes anything.

What happens to my content if my 17hats subscription ends?

Per 17hats' cancellation policy, once the subscription ends your content is no longer accessible. 17hats maintains it for at least one month, and after 45 days it may, at its sole discretion, delete all of it, after which it cannot be recovered. 17hats advises exporting reports, contact lists and important documents before the subscription ends.

Does 17hats renew automatically?

Yes. The policy says your subscription renews automatically at the end of the billing cycle and that there may be no notice of the pending renewal. Renewal dates are on the Billing Info screen in Account Settings. Cancelling has to be done inside your account; an email, chat or phone request does not count.
