What is an online booking page?

An online booking page is a public page where clients book time with you without emailing back and forth. They choose a service, see only the times you are free and confirm with their details. In Workspace369 the page can also ask intake questions and take a deposit or the full price, and each booking lands on your calendar, the client record and, when paid, an invoice.

Inside Workspace369

Set the rules once for each page.

Each booking page decides how bookings are confirmed and when clients can book. Times still follow each team member's working hours.
Booking rules

Instant booking or approve each request

Instant booking confirms the time straight away. With Approve each request you accept or decline, and the time can be held while you decide, from 1 to 168 hours (48 by default). A service can also wait for approval only on the days you pick, and the booking page tags each time Instant or Request.

Verify client email

Only real email addresses

Turn on Verify client email and clients confirm a code before they can book.

Timing

Notice, buffers and how far ahead

Set the minimum notice, a buffer after each booking and how many days ahead clients can book, or let each service use its own default.

Try it

Click through a booking page with a team.

This is the client side of a booking page with the team step on, in the Chair look. Pick a service, then a team member or the first free one, then a time.

  • Offer “Any team member” to book whoever is free first
  • Each team member can take their own length for a service, at the same price
  • Or let round robin or priority order pick the team member for you

Google Calendar

Busy in Google means not bookable.

Each team member connects their own Google account and picks the calendars to check. Busy events on those calendars take the matching times off your booking pages.

Free events leave the time open
An event you mark Free in Google Calendar doesn't block a booking time.
Only the calendars you pick
Your Primary calendar is checked when you connect. Add a family or second work calendar if those should block times too.
Meet links from the host's own account
Services held on Google Meet get a meeting link from the assigned host's Google account. Hosts who haven't connected Google aren't offered for those services.

Deposits and payments

Get paid when the time is booked.

Set a deposit or the full price per service. The money goes to your own Stripe account, the booking and the invoice stay in step, and refunds don't need a reply from you.

  1. 01

The client pays as they book

A service can ask for a deposit, as a percentage or a fixed amount, or the full price. The client pays through Stripe Checkout into your own Stripe account.

  2. 02

The time is held while they pay

Nobody else can take the time during checkout.

Your slot is reserved for 30 minutes

If they don't pay in time: the hold ends, the time opens again and the checkout can't be paid late.

  3. 03

    Paid, booked and invoiced

The booking is confirmed, or waits for you if the page approves each request, and an invoice for the service is created with the payment recorded, so any balance stays visible.

    Payment received
  4. 04

Refunds on a decline or a cancel

If you decline the booking, or the client cancels with the notice you allow, the full payment goes back to their original payment method on its own. When you cancel a booking yourself, tick Refund the client's payment to send it back.

Common questions

Online Booking questions

Which plan includes online booking?

Online booking pages start on Specialist ($149 a month with ten seats). Cadet and Voyager include the calendar, email appointment reminders and two-way Google Calendar sync, but not a booking page.

Do Google Calendar events block booking times?

Yes. Each team member who connects Google picks the calendars to check, and busy events on those calendars take the matching times off your booking pages. Events marked Free don't block a time.

Can I take a deposit when a client books?

Yes. A service can ask for a deposit, as a percentage or a fixed amount, or the full price. The client pays through Stripe Checkout into your own Stripe account, the time is held for 30 minutes while they pay, and each paid booking creates an invoice with the payment recorded.

What happens to the payment if I decline a booking?

The full payment is refunded to the client's original payment method automatically. The same happens when a client cancels with the notice you allow.

Can bookings wait for my approval only on some days?

Yes. In a service's online booking settings, set Approval to On these days and pick the days. Bookings on those days wait for your approval, other days book instantly, and the booking page tags each time Instant or Request. Days follow your workspace time zone.

Can I see where a client booked through my website came from?

Yes, when your website embeds the booking page with the booking script and passes along where the visit came from. If the booking creates a new client, the client's quick view and profile show a Booking source group: the referring site, the page they booked on and any UTM tags, such as source, medium and campaign. Clients who open your hosted booking link directly have no booking source.

Can I cap weekly bookings or offer a service only for a season?

Yes. Next to the Daily limit, a service has a Weekly limit: once a team member has that many bookings in a week, Monday to Sunday in your workspace time zone, the booking page stops offering their times until the next week. Bookable dates set a From and Until date for a service, and the booking page offers no times outside them.

Do clients get reminders, and can they reschedule?

Clients get email reminders 24 hours and 1 hour before by default; text reminders need Voyager and the client's phone number. The confirmation email carries a Manage booking link to reschedule or cancel, and every change shows on your calendar.

Can I ask clients questions before they book?

Yes. Add intake questions to a service, such as a short answer, a choice from a list, a checkbox or a number, and mark the ones you need as required. The answers are saved with the booking and included in your new-booking email.

Do clients need an account to book?

No. Clients book with their name and email, and you can ask them to confirm their email with a code first. The confirmation email has a link to reschedule or cancel.

Can I put the booking page on my website?

Yes. Embed it inline, open it from a popup button, or link to it. You can also share the page link or a QR code.

Share your first booking link.
