Connected records

Keep client context attached

Square workflows stay tied to the clients, requests, projects, invoices, payments, files, and activity your team already manages in Workspace369.

Operational fit

Support the work already moving

Use the integration alongside sales, scheduling, delivery, communication, billing, reporting, and accounting instead of treating it as a separate tool.

Team visibility

Give every role the same picture

Help owners, operators, finance, support, and delivery teams understand what happened without stitching together records across disconnected systems.

How it works

How Square works with Workspace369

  1. 01

    Connect your Square account

Sign in to Square from Settings and approve access. Payments settle in your own Square account, and you choose which Square locations to use.

  2. 02

Choose the default and pick per item

Set the default for new payments under Online payments. On an item, the Pay with row picks Default, Stripe or Square.

  3. 03

Watch payments land on the record

Each payment is recorded on the invoice it paid, so the team sees the status without opening Square.

Connected data

What moves between the systems

Invoices and recurring plans

Pick Stripe or Square on each invoice and each recurring plan, or leave it on the workspace default.

Flash Pay

Pick Stripe or Square for each Flash Pay link you send or show as a QR code.

Proposal deposits

The deposit a client pays when they accept a proposal can go through Stripe or Square.

Booking deposits

Online booking is on Specialist and up. Pick Stripe or Square for the deposit on each bookable service. A service that holds a card for no-shows, or charges in a currency other than USD, CAD, GBP, AUD, JPY or EUR, takes its deposit through Stripe.

Retainers

Pick the processor for each retainer. Prepaid retainers use Stripe, so their balance can be refunded.

Memberships

Plans imported from Square keep billing in Square. New memberships you sell are paid through Stripe.

Customers and members

Import from Square matches your Square customers to clients, maps Square plans to membership types and adds pack balances from a spreadsheet.

Setup

Setting up Square

  1. 01

    Connect Square

Open Settings → Integrations → Square, and choose Connect Square. The workspace owner or an admin signs in to Square and approves access.

  2. 02

    Choose your locations

Pick the Square locations to use and the default location where new Square payments go. You can change this later.

  3. 03

    Set the default and send

On the Online payments screen, open Providers and choose the Default for new payments. Then use Pay with on any invoice, Flash Pay link, deposit or retainer to override it.

  4. 04

    Optional: import from Square

On the Square page, choose Import from Square to bring across customers, members and pack balances. Every step shows what it read before anything is added.

Operational fit

The connection is only useful when the team can see the context.

Workspace369 keeps the integration close to the client record, so owners, operators, finance, support, and delivery are not rebuilding the same story in separate tools.

Connect the system

Bring the external workflow beside Workspace369 records without changing the way your team names clients, jobs, invoices, and projects.

Keep context visible

Show the relevant status, event, payment, message, or record where the team already works.

Act from the workspace

Use the connected context to follow up, bill, schedule, automate, report, and keep the client moving.

In practice

What teams use Square for

Already taking payments in Square

Connect the Square account your business already uses, choose it as the default for new payments, and clients pay invoices by card into that account. Each payment is recorded on the invoice.

Using Stripe and Square side by side

With both connected, pick the processor on each invoice, recurring plan, Flash Pay link, proposal deposit or retainer. Anything you leave on Default follows the workspace default.

Bringing a Square studio or shop across

Import your Square customers as clients, map your Square plans to membership types, and add pack balances from a spreadsheet. Members keep billing in Square, and nothing changes in Square.
