How to Create a Proposal in Workspace369, Step by Step
To create a proposal in Workspace369, open Proposals under Finance, click New Proposal, choose the client and add services from your catalog. Pick a theme, accent color and cover in the Design tab, add sections such as a timeline and your saved terms, and use the Settings tab for signatures, expiry dates, deposits, follow-up reminders and internal notes. You can save the proposal as a template, and once a client accepts it, it locks, so any later change goes through a change order the client approves.

FAQ
Common questions
Can I require a signature on a Workspace369 proposal?
Yes. In the proposal's Settings tab, turn on Require signature, and your client signs when they accept.
How do proposal follow-up reminders work?
Follow-up reminders nudge a client who has opened the proposal but hasn't replied. Workspace369 sends up to three, two days apart.
Can I ask for a deposit when a client accepts a proposal?
Yes, if you've connected Stripe. You can ask for a deposit when the client accepts, as a percentage or a fixed amount.
How do I save a proposal as a template?
Open the Design tab and click Save as template. The template keeps your sections, the design and the line items. Next time you click New Proposal, it's there with everything except the client.
How do I change a proposal after the client accepts it?
Once a client accepts, the proposal locks, so nothing changes without a record. Click New change order, add what's changing and why, and send it to the client to approve.

Welcome back. In this video, we'll go deeper into proposals: your items, the design, the sections you can add, the settings that protect you, and templates, so the next one takes a minute.
Open Proposals, under Finance. Click New Proposal. You can start from one of your templates, or from scratch. I'll start blank, and we'll make a template at the end. Give it a name, and choose the client. This one is for Drew, at Walsh Logistics. Add a service from your catalog, and set the quantity: twelve vans, one for each in Drew's fleet. The total, with tax, updates as you go.
Now the look. In the Design tab, pick a theme and an accent color. I'll use Bold, with charcoal. Then choose a cover. There's a gallery of artwork, or you can upload your own photo. Pick how the cover sits: fill, inset, or fade.
Below the price, add the sections your client should read. Each one starts with a prompt you can write over. A timeline shows what happens when. Add a milestone, give it a date, and say what gets done. Add a Terms section, and your saved terms fill in for you, so you never retype them. Hover over any section to highlight it, copy it, or drag it into a new order.
In the Settings tab, decide what the client needs to do. Turn on Require signature, so they sign when they accept. Set how long the offer is valid. Pick a date, and your client sees it. With Stripe connected, you can ask for a deposit when they accept, as a percentage or a fixed amount. Follow-up reminders nudge a client who opened it but hasn't replied: up to three, two days apart. And internal notes are just for your team. Your client never sees them.
Click Preview, to see exactly what your client will see. To reuse all of this, open the Design tab, and click Save as template. It keeps your sections, the design, and the line items, so just save. Next time you click New Proposal, your template is right there, with everything except the client.
One more thing. Once a client accepts, the proposal locks, so nothing changes without a record. To change it, click New change order. Add what's changing and why, and send it to the client to approve. And that's proposals in depth. In the next video, we'll go deeper into invoices.
