How to export everything from HoneyBook (2026)

How to export from HoneyBook: a checklist of what you can export, including contacts as CSV, reports, expenses, smart files as PDF and uploaded files.

Workspace369 publishes this guide and sells an alternative client-work platform. Every HoneyBook step below comes from a page on help.honeybook.com, read on October 16, 2026, and is linked where it is used. HoneyBook can change its help center, so check each article before you rely on it.

If you are leaving HoneyBook, export first and cancel last. This guide is a checklist of what HoneyBook's own help center says you can take with you, how to do each export, and what has no export at all. Where there is a gap, I say so and give a generic workaround, labelled as one.

Every step links to the HoneyBook article it comes from. I read each one on October 16, 2026.

Key takeaways

  • HoneyBook exports contacts as a CSV, expenses as a CSV, and a set of reports from the Reports page and Tax Hub. Smart files, including contracts and invoices, are saved as PDF one at a time.
  • We found no help article for exporting projects as one file, templates, or scheduler settings. Reports cover project data, and the rest you save or rebuild by hand.
  • Files clients uploaded are previewed and downloaded one at a time. HoneyBook says cancelling keeps your existing projects viewable but blocks new files, projects and messages, and does not delete the account.
  • There is no one-click HoneyBook importer in Workspace369. Clients, products, expenses, invoices and proposals come in as CSV or XLSX through AI Import, which maps the columns and shows the AI usage estimate before it writes anything.
  • Keep your HoneyBook account active until you have checked every file you saved.

Quick answer

HoneyBook lets you export contacts and expenses as CSV files, run reports (including payment and tax reports) from Reports and Tax Hub, save smart files such as contracts and invoices as PDF, and download uploaded files one at a time. I found no documented export for templates, questionnaires as data, or the scheduler. There is no single "export everything" button.

There is also no one-click HoneyBook to Workspace369 importer. You export from HoneyBook, then bring the spreadsheets in with AI Import. More on that below.

  • Use a desktop browser. Per the Reports guide, report downloads are on the web version, and the mobile app shows only a few reports. The expenses article says the same for expenses.
  • Check your role. The Reports guide says only the account owner has a full view of Reports, and team members see only projects they created. Expense CSV downloads are limited to account owners, super admins and bookkeepers. Do this as the owner.
  • Check your plan. The Reports guide marks some reports as needing the Essentials or Premium plan. If a report is missing, that is the first thing to check.
  • Do not cancel yet. Keep the account active until the last step.

1. Export your contacts

  1. Open the navigation menu and go to Clients, then Contacts.
  2. Click the triple-dot icon.
  3. Choose Download spreadsheet.

Per the contacts export article, you get a CSV with each contact's name, email, phone number, address and notes, plus the date the contact was created in HoneyBook. The Contacts page article calls it a backup of your entire contacts list.

The article does not say the file includes project details, so treat it as your client list only.

A man leans over a desk of documents and a form as a hand passes him an envelope, beside a flow chart with a check mark.

2. Export your projects and pipeline

I found no help article for exporting the project pipeline as one file. The closest thing is the Reports page. Per the Reports guide:

  1. From the navigation menu, select Reports.
  2. In the Downloadable reports card, choose a date range. Reports run by full months, not individual dates.
  3. Download reports one at a time or in bulk.

The reports that matter for a move are:

  • Projects: financials and details for projects with a created date. Desktop only, and the article says it needs the Essentials plan.
  • Archived Projects: archived projects and the reasons they were archived. Desktop only.
  • Booked Projects per Client: client contact details, project worth and balances. Desktop only, Essentials plan.
  • Clients: all clients and total client worth. Desktop only, Premium plan.

The article does not say whether these download as CSV or PDF, so open one first. Because the date range is by month, run a long span, for example each year you have worked in HoneyBook, and check the row counts.

If a report is not available on your plan, a generic workaround is to open each active project and copy its status, dates and balance into a spreadsheet. That is manual, so limit it to live work.

3. Save your invoices and payments

HoneyBook has no dedicated invoice report that I could find. Payment data comes from two places:

  • Payments Completed on the Reports page, a desktop-only report on income, tips, discounts and refunds, per the Reports guide.
  • Tax Hub. Go to Finance, then Tax Hub, then Individual reports, choose a timeframe and click the download icon beside a report, or choose Download all reports. Per the Tax Hub article, the list includes payments completed, sales tax, discounts and refunds. It does not state the file format.

For the invoice itself, an invoice is a smart file, so save it as a PDF, one at a time, with the steps in the next section. A generic workaround for a long history: decide which invoices you need. Open and unpaid ones, plus the last tax year, are usually enough. Ask your accountant before you archive the rest.

4. Save your contracts and other smart files

HoneyBook's print or save a smart file article gives the route for a whole file:

  1. Find the project with the search bar or Projects in the navigation menu.
  2. Open the file.
  3. From the top menu, select the triple-dot icon, then Print file.
  4. Set the printer destination to Save as PDF, then select Save.

It also covers saving a single page (View published file, then Save page as PDF) and selected sections. Client answers are saved separately: open the project's File Summary, find the Responses section and select Print Responses.

Two cautions:

  • Check the signatures. The article does not say whether signatures show in the saved PDF. Open a saved contract and confirm that the signatures and dates are on it before you rely on the file.
  • Use the Files tab to find them all. Per the Files tab article, the tab lists every smart file across your projects. Filter by Contracts to see who has signed, or by Invoices to see amounts and payments. It lists smart files only, not legacy files. It also says a file with payments or a signed contract cannot be deleted, so nothing there disappears by accident while you work.

5. Download client and library files

Files clients uploaded through a smart file or form are stored with the project. Per HoneyBook's client upload article:

  1. Open the project, then click the file to open its File Summary.
  2. Select an uploaded file to preview it.
  3. Download it from the preview.

I found no bulk download. You save each file on its own. Files clients add through the project workspace stay in the workspace and do not appear in your Library.

Your own Library assets work the same way: the Library article says you download an asset from its preview. For a long list, do active clients first and archived ones only if you need them.

6. Templates, questionnaires and brochures

HoneyBook's templates article covers copying templates and making them public. It does not describe an export, and I found none. Questionnaires and brochures are smart files, so the Save as PDF steps above work on a template or a sent file, but a PDF is a record, not something you can load into another tool.

A generic workaround: copy the text of the templates you still use into a document, and skip the ones you have not sent in a year. Save one PDF of each questionnaire so you remember its questions. You will rebuild these in the new tool.

7. Scheduler and calendar

I found no export for scheduler settings or session types. HoneyBook's calendar article lists what appears on the calendar, including booked and tentative projects, meetings and payment due dates, and does not describe a file download.

What exists is sync. Per the calendar sync article, you can share HoneyBook events with Google Calendar, and show Google events in HoneyBook, and only one external calendar syncs at a time. The Scheduling FAQs say direct syncing works with Google, Outlook and iCloud.

A generic workaround: turn on the sync to a calendar you keep, then check that upcoming appointments and project dates show up there. Write down your session types and availability by hand so you can set them up again.

8. Expenses, financial reports and QuickBooks

Expenses. Per the expenses article, go to Finance, then Expenses, click the three-dot menu and select Download CSV. It is desktop only and limited to account owners, super admins and bookkeepers. The article does not say whether the time filter changes what the file contains, so check the row count.

Financial reports. The Tax Hub reports in step 3 are your main financial exports. Run them for every year you want to keep.

QuickBooks. HoneyBook's integrations page says the QuickBooks integration automatically sends info from your HoneyBook transactions to QuickBooks. If you already use it, your books may hold the payment history. I did not confirm the details of what syncs, so check your own QuickBooks file instead of assuming.

Bring it into Workspace369

There is no HoneyBook importer, and Workspace369 does not claim one. Here is what the process looks like instead.

  1. Take the contacts CSV from step 1, the expenses CSV from step 8, and a spreadsheet of any products, invoices or proposals you want to carry over. Clean the columns a little. Remove contacts you do not need.
  2. Run AI Import for each record type. You upload a CSV or XLSX of clients, products, expenses, invoices or proposals. AI Import maps your columns to the right fields and you review the mapping. It shows the AI usage estimate before it writes anything. AI Import is on every Workspace369 plan and brings in only what your plan includes, so expenses need Specialist.
  3. Attach files and notes to the client record or project from the downloads in steps 4 and 5.
  4. Rebuild the few templates, questionnaires and automations you wrote down in step 6.

The full checklist, including what moves and what you re-create, is on the switch from HoneyBook page. For a feature-by-feature view, see Workspace369 vs HoneyBook, or browse the HoneyBook alternatives. If cost is part of the decision, read the HoneyBook price increase guide. Leaving a different tool? The Dubsado export checklist works the same way.

Saved card details cannot move between systems, so clients re-enter a card on their next payment. Old HoneyBook links keep pointing at HoneyBook, so tell active clients where to go next.

What happens when you cancel

HoneyBook's cancellation article says that after you cancel, your account is available through your current subscription period, and you still have access to all existing projects and information. You can no longer create new files or projects or send messages. It also says cancelling does not delete your account, and that permanent deletion means contacting HoneyBook Support. If you subscribed through iOS or Google Play, you cancel in that app store instead of in HoneyBook.

I found no published retention period, so I cannot tell you how long existing data stays viewable. That is a good question for HoneyBook Support, in writing, before you cancel.

Final check before you cancel

  • The contacts and expenses CSV files open correctly and have the row counts you expect.
  • The reports you need, for every year, are downloaded and open.
  • Invoices and contracts you need are saved as PDF, with the signatures visible, and open invoices are paid or moved.
  • Client answers and uploaded files are saved.
  • Template text and notes on your automations and scheduler are in a document.
  • A second copy of the folder exists somewhere other than your laptop.

Then cancel HoneyBook when the last open invoice there is paid. If you want to compare before you commit, the 14-day Workspace369 trial is card-first, so you add a card to start it.

FAQ

Can I export all my data from HoneyBook in one click?

No. HoneyBook documents separate exports: a contacts CSV, an expenses CSV, reports from the Reports page and Tax Hub, smart files saved as PDF one at a time, and uploaded files downloaded one at a time. We found no single full-account export in its help center.

How do I export my HoneyBook client list?

Open the navigation menu, go to Clients, then Contacts, click the triple-dot icon and choose Download spreadsheet. HoneyBook says the CSV holds each contact’s name, email, phone number, address, notes and the date the contact was created.

Can I export HoneyBook invoices and payments?

Partly. The Payments Completed report on the Reports page and the Tax Hub payments reports cover payment data, and each invoice, as a smart file, can be saved as a PDF. We found no help article for a single bulk invoice export, and the help center does not name the file format for these reports.

Can I export HoneyBook contracts?

Each contract can be saved as a PDF through Print file and Save as PDF. HoneyBook’s article does not say whether signatures appear in the saved PDF, so open each file and check. Signed contracts cannot be deleted in HoneyBook, so you can keep them there until you are sure.

Can I export my HoneyBook templates?

We found no export for templates. HoneyBook’s templates article covers copying and sharing only. A template can be opened and saved as a PDF like any smart file, and you rebuild it in the new tool.

Is there a HoneyBook importer in Workspace369?

No. Workspace369 has no HoneyBook-specific importer and no one-click import. You export from HoneyBook, then use AI Import to bring in clients, products, expenses, invoices and proposals as CSV or XLSX. It maps your columns, lets you review them and shows the AI usage estimate before it writes anything.

What happens to my data if I cancel HoneyBook?

Per HoneyBook, your account stays available through the current subscription period, and afterwards you keep access to existing projects and information but cannot create new files or projects or send messages. Cancelling does not delete the account; permanent deletion goes through HoneyBook Support.

When should I cancel HoneyBook?

After you have saved and opened every export, and after your last open invoice there is paid. Cancelling blocks new files and messages, so finish active work first.
