How to export everything from Plutio (2026)

How to export from Plutio: a checklist of what you can export, including contacts as CSV, timesheets as CSV and signed proposals as PDF, plus cancelling.

Published October 17, 2026 · Updated October 22, 2026 · 8 min read

Workspace369 publishes this guide and sells an alternative client-work platform. Every Plutio step below comes from a page on help.plutio.com or plutio.com and is linked where it is used. On October 17, 2026 we opened the Plutio contact import and export, timesheet views, proposal e-signature, file sharing, sending invoices, transactions, and cancellation and data retention articles, plus the help center index pages and the timesheets product page. We did not open the templates articles themselves, only their listing on the index page. Where Plutio has no export article, we say so. Check each article in your account before you rely on it.

If you are leaving Plutio, export first and cancel last. This guide is a checklist of what Plutio's own help center says you can take with you, how to do each export, and what has no documented export. Where there is a gap, I say so and give a generic workaround, labelled as one.

Every step links to the Plutio page it comes from. I opened them on October 17, 2026. Plutio's help center is organised into collections with short articles, and some obvious things, such as invoice export, are simply not written up. Compare each step with what you see on screen.

Key takeaways

  • Plutio documents a CSV export for contacts (Contacts, then Import/ Export, then Export, then Download (.csv)) and says filtered timesheet results can be exported as CSV. Signed proposals can be downloaded as PDF from the proposal detail view.
  • We found no Plutio help article for exporting invoices, payments, expenses, tasks, projects, templates or files in bulk (the cancellation article says invoices, projects and files stay downloadable after your plan ends, without steps), and no documented contract PDF download. Each has a generic workaround below, labelled as one.
  • Per Plutio's cancellation article, existing data becomes read-only when the billing period ends and you can still view and download projects, contacts, invoices, proposals, contracts, files and conversations. The grace period length is not stated, and after it data may be permanently deleted.
  • There is no one-click Plutio importer in Workspace369. Clients, products, expenses, invoices and proposals come in as CSV or XLSX through AI Import, which maps the columns and shows the AI usage estimate before it writes anything.
  • Keep your Plutio account active until you have opened every file you saved.

Quick answer

Plutio lets you export contacts as CSV, export filtered timesheets as CSV, and download signed proposals as PDF. I found no step-by-step export for invoices, payments, expenses, tasks, projects, templates or files in bulk, and no contract PDF download article. Plutio's cancellation article does say invoices, projects and files can still be downloaded after a plan ends, but it gives no steps. There is no single "export everything" button.

There is also no one-click Plutio to Workspace369 importer. You export from Plutio, then bring the spreadsheets in with AI Import. More on that below. If you want the short version of the whole move, start with switching from Plutio.

  • Use the web app. The export options are described for the logged-in workspace.
  • Do this as the workspace owner or a co-owner. Plutio says workspace owners and co-owners can open a conversation with support from inside Plutio, and a restricted role may not see every option.
  • Do not cancel yet. Keep the account active until the last step.

1. Export your clients and contacts

Per Plutio's contact import and export article:

  1. Open the Contacts page. Apply any filters first, because the export only includes contacts that match them.
  2. Click Import/ Export in the toolbar.
  3. Select Export, then click Download (.csv).

The article says the file includes first name, last name, email, phone, address and country, plus custom field values for each contact. It does not say whether companies are exported as a separate file, so open the CSV and check for company names before you move on. If companies are missing, note them from the Companies list by hand.

2. Export your invoices and payments

I found no Plutio help article that describes exporting invoices or payments. The invoicing and payments collection lists articles on receipts, sending invoices, recording a manual payment and transactions, but none of them covers an export. The sending invoices article says invoices are shared by email or by a public link that opens in the client portal, and it has no PDF download or print steps.

A generic workaround, not a Plutio feature as far as I could confirm: open each invoice you need, use the browser's print dialog to save it as PDF, and keep open and unpaid ones plus the last tax year. Also look in your own account for an export option, since Plutio's marketing pages may describe features the help center does not, and ask your accountant before you archive the rest. Plutio's cancellation article says invoices, projects, files and contracts can still be viewed and downloaded in read-only mode after your plan ends, but it gives no steps, so check what the download looks like in your account. A Plutio API exists (docs.plutio.com, only partly read), which is an option if you have a developer, but I did not test it for exports.

3. Save your proposals and contracts

For proposals, Plutio's e-signatures on proposals article says that when the client signs, the proposal becomes accepted and a PDF copy is generated:

  1. Open the signed proposal's detail view.
  2. Download the PDF from there.

The article does not give exact button names, so look for it in the detail view. It does not cover signed contracts. A generic workaround for contracts: open each one you still need, print it to PDF from your browser, then open the saved file and confirm that signatures and dates are visible.

4. Export your time entries

Plutio's timesheet views article says filtered timesheet results can be exported as CSV, and gives the example of pulling billable hours for one client in one month. All three views (full, cost and billing) share the same filters, so apply them first: user, project, task, date range or category. The article does not name the export control or say whether cost and billing rate columns are in the file, so open the CSV and check. The timesheets product page also says you can download timesheets as a CSV file with the export feature.

To keep everything, widen the date range to cover your whole history before you export, or export one year at a time.

5. Export your expenses

I found no export article for expenses. The transactions article describes income, expenses and net income views, and has no export steps. A generic workaround: filter your transactions by year, save each view as a PDF from your browser, and copy the totals into a spreadsheet. Download receipt attachments from each record.

6. Export your projects and tasks

I found no export article for projects or tasks. The task list view article covers columns, sorting, grouping and filters, and no export. A generic workaround: set up the list view with the columns you need (status, due date, client, project), save it as PDF from your browser, and copy it into a spreadsheet for the active projects. Comments and attachments will not come across that way.

7. Files

Plutio's file sharing article describes turning downloads on or off for a shared file, and the uploading and organising article covers folders, move, rename and delete. Neither describes a bulk or zip download. A generic workaround: open the Files page, download the files you need one at a time and keep them in a folder named for each client. Do active clients first.

8. Templates

I found no help article that describes exporting templates. Plutio's templates collection lists creating and managing templates and sharing them to a community library, which is not the same as exporting them (I did not open those articles). A generic workaround: copy the text of the proposal, contract and invoice templates you still use into a document, and skip the ones you have not sent in a year. You will rebuild these in the new tool.

9. Accounting and tax reports

The dashboards and reporting collection covers custom pages and widgets, and lists no report export article. The only data exports I could confirm are the contacts CSV and the timesheet CSV above. I did not confirm export steps for any tax reports, so ask Plutio support or your accountant what you need for each tax year. A generic workaround: save the invoice and transaction views for every year you want to keep and give the files to your accountant.

Bring it into Workspace369

There is no Plutio importer, and Workspace369 does not claim one. Here is what the process looks like instead.

  1. Take the contacts CSV from step 1, any expenses you rebuilt into a spreadsheet in step 5, and a spreadsheet of any products, invoices or proposals you want to carry over. Clean the columns a little. Remove clients you no longer need.
  2. Run AI Import for each record type. You upload a CSV or XLSX of clients, products, expenses, invoices or proposals. AI Import maps your columns to the right fields and you review the mapping. It shows the AI usage estimate before it writes anything.
  3. Attach files and notes to the client record or project from the downloads in steps 3 and 7.
  4. Rebuild the few templates you saved in step 8.

The full checklist, including what moves and what you re-create, is on the switch from Plutio page. For a feature-by-feature view, see Workspace369 vs Plutio, or browse the Plutio alternatives. Leaving another tool? The Bonsai export checklist and the HoneyBook export checklist work the same way.

If you use Plutio's client portals, tell active clients where to go next.

What happens when you cancel

Plutio's cancellation and data retention article says you cancel from Settings, then Billing and plans, and that nothing is removed immediately. The workspace keeps full access until the current billing period ends. After that, existing data becomes read-only: you can still view and download projects, contacts, invoices, proposals, contracts, files and conversations, but you cannot create or edit anything. Data is kept for a grace period that the article does not put a number on, and after it the data "may be permanently deleted and can't be recovered." If you resubscribe during the grace period, the workspace returns with its data intact. Ask Plutio support in writing how long the grace period is before you rely on it.

Final check before you cancel

  • The contacts CSV and timesheet CSV open correctly and have the row counts you expect.
  • Signed proposals are saved as PDF, and contracts and open invoices are saved or paid, with signatures visible.
  • Files and template text are saved in a folder.
  • A second copy of the folder exists somewhere other than your laptop.

Then cancel Plutio when the last open invoice there is paid. If you want to compare before you commit, the 14-day Workspace369 trial is card-first, so you add a card to start it.

FAQ

Can I export all my data from Plutio in one click?

We found no one-click export in Plutio's help center. It documents a contacts CSV export, a timesheet CSV export and signed proposal PDFs, and the rest has to be saved piece by piece.

How do I export my Plutio client list?

Open the Contacts page, apply any filters, click Import/ Export in the toolbar, choose Export, then Download (.csv). The file holds first name, last name, email, phone, address, country and custom field values. Check whether your companies came out too.

Can I export Plutio invoices and payments?

We found no help article for it. Plutio's help center covers sending invoices by email or a public link, receipts and manual payments, but not an invoice or payment export. Its cancellation article says invoices stay downloadable in read-only mode after a plan ends, without steps. Check your own account for an export option, or ask Plutio support.

Can I download signed Plutio proposals and contracts?

Signed proposals: yes. Plutio says signing generates a PDF copy that can be downloaded from the proposal detail view. The article does not cover contracts, so open one signed contract and check for a download option.

Can I export my Plutio time entries?

Yes, as CSV. Plutio says filtered timesheet results can be exported as CSV. Filter by user, project, task, date range or category first, then export. The help article does not name the button.

Is there a Plutio importer in Workspace369?

No. Workspace369 has no Plutio-specific importer and no one-click import. You export from Plutio, then use AI Import to bring in clients, products, expenses, invoices and proposals as CSV or XLSX. It maps your columns, lets you review them and shows the AI usage estimate before it writes anything.

What happens to my data if I cancel Plutio?

Per Plutio, cancelling keeps full access until the billing period ends, then data becomes read-only and you can still view and download it. Plutio says data is kept for a grace period it does not put a number on, and after that it may be permanently deleted.

When should I cancel Plutio?

After you have saved and opened every export, and after your last open invoice there is paid.
